About the Role

Our admin and support teams make a much-valued contribution to the Primient business.

The Executive Assistant to the CEO is a trusted strategic partner who ensures the seamless execution of priorities, communications, and commitments from the Office of the CEO. Operating with the highest level of professionalism, discretion, and emotional intelligence, this individual anticipates needs before they arise, drives outcomes quietly and efficiently, and represents the CEO with poise and credibility across all interactions - including with the Board of Directors, government leaders, and key stakeholders.

This role requires a confident yet humble professional who combines exceptional attention to detail with a service mindset and an unwavering commitment to excellence.

Key Responsibilities

Executive and Strategic Support

  • Anticipate the CEO's needs and proactively manage priorities, ensuring preparation and follow-through with little to no direction.
  • Prepare high-quality presentations, Board decks, and briefing materials that convey clarity, accuracy, and strategic alignment.
  • Conduct targeted research to support the CEO's decision-making, public engagement, and communications.
  • Maintain and protect the confidentiality of sensitive information and organizational matters.

Board and Stakeholder Engagement

  • Serve as a key point of coordination for the Board of Directors, including meeting logistics, materials preparation, and confidential correspondence.
  • Partner closely with the Governor's and Mayor's offices, government agencies, and external partners to ensure flawless engagement and representation of the CEO and company.
  • Coordinate communications and briefing materials that ensure the CEO is fully informed and strategically positioned in every interaction.

Operational and Administrative Leadership

  • Manage complex global calendars, meetings, and international travel arrangements across multiple time zones.
  • Oversee executive meetings, including agenda development, materials management, action tracking, and post-meeting follow-up and note taking as required.
  • Lead and coordinate the work of other administrative professionals related to CEO Town Halls, meetings and joint activities.
  • Manage expense reporting, budgeting, and financial reconciliation for the Office of the CEO & CFO.
  • Provide discreet personal and family support related to scheduling, travel, and logistics when needed, maintaining full confidentiality and professionalism.
  • Oversee weekend and after-hours coordination as needed to ensure continuity of operations and support.

Event and Program Management

  • Plan and execute executive-level meetings, Board sessions, offsites, and corporate events that reflect the CEO's standards and the organization's values.
  • Partner with HR and Communications to deliver leadership meeting and town halls.

Crisis and Issue Management

  • Act as an early-warning system for emerging risks, potential conflicts, and time-sensitive priorities.
  • Maintain calm, clarity, and responsiveness in high-pressure or confidential situations.

ABOUT YOU

Experience & Qualifications

  • Proven ability to handle highly confidential information with integrity and sound judgment.
  • Demonstrated competence managing Board of Directors interactions, decks, materials, and communications.
  • Strong experience interfacing with senior government and community leaders.
  • Exceptional proficiency in Microsoft Office Suite (Outlook, PowerPoint, Excel, Word), SAP, Teams, Zoom, Concur and ERP systems.
  • Skilled in executive communication, presentation development, and professional correspondence.
  • Experience managing budgets, expenses, and financial tracking with precision.

Core Competencies

Education:

  • Bachelor's degree required; advanced degree or executive administrative certification preferred.

Experience

  • Minimum 10 years' experience supporting C-suite executives in complex, global organizations. Must have support the CEO directly.
