Position Overview

The Engineering Coordinator IV provides advanced administrative and operational support to ensure the efficient execution of activities within a business group or department. This role collaborates with internal and external stakeholders, managing processes that influence team operations, programs, and overall employee experience. The Coordinator IV works independently on complex assignments, demonstrates strong organizational and problem-solving skills, and contributes to process improvements that enhance effectiveness across the organization.

This is a hybrid role onsite 3 days/week at 1 Exact Lane in Madison, WI.

Essential Duties

Include, but are not limited to, the following:

  • Provides administrative and clerical support including managing schedules, coordinating meetings and handling correspondence.
  • Develop, organize and maintain documentation for processes, service level agreements (SLAs), design reviews and technical reports.
  • Manage service requests and workflows in enterprise systems, ensuring timely resolution and compliance with company standards.
  • Monitor and maintain budgets for assigned programs, providing accurate reporting and supporting cost optimization initiatives.
  • Serve as primary point of contact for internal stakeholders regarding internal policies, procedures, and escalations.
  • Facilitate communication with cross-functional teams ensuring issues and solutions are effectively conveyed and align with organizational goals.
  • Support continuous improvement projects through partnership with project managers, identifying opportunities to streamline processes and ensuring timely and effective dissemination of project communications.
  • Ensure adherence to regulatory requirements (FDA, CLIA, CAP) and corporate policies, including safety, security, and quality standards.
  • Coordinate onboarding and training for new processes or tools within the corporate services function.
  • Maintain confidentiality and handle sensitive information with discretion.
  • Uphold company mission and values through accountability, innovation, integrity, quality, and teamwork.
  • Support and comply with the company's Quality Management System policies and procedures.
  • Maintain regular and reliable attendance.
  • Ability to act with an inclusion mindset and model these behaviors for the organization.
  • Ability to work nights and/or weekends as needed.
  • Ability to work overtime, as needed.
  • Ability to work on a mobile device, tablet, or in front of a computer screen and/or perform typing for approximately 80% of a typical working day.
  • Ability to work on a computer and phone simultaneously.
  • Ability to use a telephone through a headset.
  • Ability to work standing for approximately 20% of a typical working day.
  • Ability to travel approximately 10% of working time for training and site visits.

Minimum Qualifications

  • High School Diploma or General Education Degree (GED).
  • 4 years of relevant job-related experience in a professional setting.
  • Strong proficiency in Microsoft Office Suite and enterprise systems (e.g., ServiceNow, SAP).
  • Excellent organizational, communication, and problem-solving skills.
  • Ability to manage multiple priorities in a fast-paced environment.
  • Demonstrated ability to work independently and exercise sound judgment.
  • Applicants must be currently authorized to work in country where work will be performed on a full or part-time basis. We are unable to sponsor or take over sponsorship of employment visas at this time.
  • Demonstrated ability to perform the essential duties of the position with or without accommodation.

Preferred Qualifications

  • Bachelor's Degree in field relevant to essential duties.
  • Experience in vendor management and contract administration.
  • Familiarity with corporate compliance standards and service level agreements.
  • Exposure to project coordination or process improvement methodologies.

Salary Range:

$62,000.00 - $102,000.00

The annual base salary shown is for this position located in US - WI - Madison on a full-time basis. In addition, this position is bonus eligible.
