Job Title: Federal Government Billing Specialist

Location(s): Cary, NC
(Hybrid: on-site Tuesday-Thursday; remote Monday & Friday)

Position Overview
A leading healthcare organization is seeking a proactive and detail-oriented Federal Government Billing Specialist to join the Order Management team in Cary, NC. This role is a backfill position with added responsibilities supporting system upgrades and automation initiatives. The specialist will play a critical role in ensuring accurate, compliant, and timely billing for U.S. Federal Government contracts.

The ideal candidate is highly organized, detail-oriented, and comfortable working across multiple federal invoicing platforms while collaborating with cross-functional partners.

Key Responsibilities
  • Prepare, review, and submit invoices through federal invoicing platforms including WAWF, IPP, Tungsten (OB10), and ECAT, ensuring compliance with agency-specific and contract requirements.
  • Review contract terms, purchase orders, and funding modifications to ensure accurate billing for reagents, consumables, and related products.
  • Monitor unbilled receivables and proactively resolve invoice holds, rejections, or discrepancies.
  • Investigate and resolve WAWF rejections in coordination with Contract Administrators and Credit & Collections teams.
  • Maintain accurate invoice tracking spreadsheets, logs, and supporting documentation; ensure data integrity across systems.
  • Act as a liaison between internal teams including Account Order Management, Contract Finance, Sales, and Credit & Collections to resolve billing issues and disputes.
  • Support system upgrades, process improvements, and automation initiatives within the Order Management function.
  • Perform additional duties as assigned to meet evolving business needs.
Required Knowledge, Skills, and Experience
  • Experience with U.S. Government invoicing platforms such as WAWF, IPP, and Tungsten (OB10); exposure to ECAT is a plus.
  • Understanding of federal billing compliance, contract terms, and invoicing requirements.
  • Strong attention to detail and accuracy due to strict government contract requirements.
  • Ability to manage multiple invoicing workflows simultaneously and prioritize tasks effectively.
  • Excellent written and verbal communication skills.
  • Strong analytical and problem-solving skills with a proactive approach to issue resolution.
  • Ability to handle sensitive and confidential information with integrity.
  • Proficiency in Microsoft Office Suite (Excel, Outlook, Word) and billing systems.
  • Team-oriented, reliable, and flexible with a commitment to operational excellence.
Experience & Education
  • Experience: Open to entry-level candidates; preference for 1-3 years of billing experience, particularly with federal or government customers.
  • Education: High school diploma and relevant work experience required; college degree not required.
  • Training: Willingness to learn new systems; training provided for candidates with strong billing fundamentals.
Collaboration & Team Environment
  • Works closely with:

    • Account Order Manager (primary partner).
    • Credit & Collections (invoice resolution).
    • Contract Finance (data validation and compliance)
  • Role balance: approximately 70% independent work / 30% cross-functional collaboration.
