The POINT OF SALE SYSTEMS SPECIALIST is responsible for administration of the point-of-sale systems supporting park operations revenues. Additionally, this role provides administrative and operational support to the Park Operations Department and other employees as designated by the Director of Park Operations. This position will supervise the Receptionist/Reservationist. Work is performed under supervision of the Director of Park Operations. Annual performance goals will be set for Point-of-Sale Systems Specialist. Hiring Salary Range: $54,790.53 - $65,966.23

ESSENTIAL FUNCTIONS (with illustrative examples of work)

System Administration and Analytics:

  • Administer agency-wide point-of-sale (POS), membership, and reservations systems.
  • Maintain and oversee reservations system for rental operations handled at headquarters.
  • Create and administer documentation and operating procedures for a variety of POS systems.
  • Coordinate training and auditing of systems.
  • Provide reporting and analytics to a variety of departments.
  • Test and implement new system features.
  • Manage and resolve customer disputes and chargebacks.
  • Provide oversight to the addition of general ledger codes to the POS system.
  • Implement changes required by law (taxes, etc.).
  • Assist with handling of headquarters petty cash.
  • Deposit all checks, cash, and receivables processed through headquarters and code accordingly.

Front Desk Oversight and Support:

  • Coordinate and communicate front desk coverage.
  • Hire, supervise, and evaluate Receptionist/Reservationist.
  • Provide daily back-up to Receptionist/Reservationist.
  • Approve time off and timesheet.
  • Answer telephone and forward telephone calls or take messages.
  • Process incoming mail and assist with processing of outgoing mail.

Uniform Program Management:

  • Interpret NOVA Parks' Uniform Policy.
  • Manage uniform orders, billing, and distribution program, including accurate accounting practices.
  • Provide accurate billing and accounting for employee uniforms.

Perform Varied Administrative Duties:

  • Prepare correspondence, interoffice memoranda, and reports.
  • Proofread written material for procedural and grammatical accuracy.
  • Collect and compile data on miscellaneous projects.
  • Monitor and respond to NOVA Parks email inquiries.
  • Attend meetings and prepare reports as assigned.
  • Prepare project, contract, and/or bid specifications per standard procedures and record bid results in accordance with business policies.
  • Purchase and maintain adequate inventories of office and kitchen supplies.
  • Coordinate training requests, registrations, and payments.
  • Schedule and prepare meetings.
  • Respond to and handle routine inquiries; refer caller to proper employee for non-routine matters.
  • Establish, update, and maintain filing system.
  • Copy documents and forms.

Perform Miscellaneous Duties:

  • May attend NOVA Parks board meetings and provide administrative support to board members.
  • Assist with preparation and distribution of board minutes and agenda.
  • Maintain rental house payment database and rent processing.
  • Coordinate donation requests.
  • Submit work requests for repairs and maintenance.
  • Assist with processing paychecks and accounts payable checks through printer for authorized signature.
  • Assist with asset management including inventory.

REQUIRED QUALIFICATIONS (minimum)

Education: Graduation from high school supplemented by courses in typing, personal computers, and business practices.

Physical: Non-manual work with strength and dexterity necessary to perform all required tasks, including stooping, bending, working in tiring and uncomfortable positions in an office setting, and lifting items at or greater than 80 pounds.

Experience: Two years of clerical work or any equivalent combination of experience and training which provides:

  • Knowledge and ability to learn and interpret a variety of point-of-sale and reservation systems.
  • Knowledge of modern office practices and procedures.
  • Knowledge of proper business English, spelling, and commercial arithmetic.
  • Knowledge of general accounting and reporting practices.
  • Ability to prepare effective and correct correspondence on routine matters, and to perform routine office management details with only general supervision.
  • Skill in recording and transcribing oral dictation.
  • Skill in the operation and care of a personal computer with working knowledge of applicable software.
  • Ability to operate miscellaneous office equipment such as copier, postage machine, and telephone system.
  • Ability to deal courteously and effectively with the public.
  • Ability to establish and maintain effective relationships with co-workers and supervisors.
  • Ability to gain a working knowledge of NOVA Parks, its development, traditions, and policies.
  • Organizational skills necessary to prioritize and organize workload.
  • Possession of or ability to obtain and maintain driver's license with safe driving record.
  • Regular and predictable attendance is an essential function of the position.
