Senior Records Management Specialist - Only those with Texas Archive Commission Retention Schedule experiece considered
Pay Range: $30.00- 33 per hour
Work Schedule: Monday - Friday
Work Hours: 7:00 AM - 4:00 PM
Hire Type: Contractor

Applicant must be familiar with records management practices, assigning content types, familiar with Texas Archives Commission retention schedule.
CRA, CRM, IGP, ARMA or International Professional Association of Information Governances Applicant will have the flexibility to work from home at least 3 days of the week if not required to be in the office.

General Overview At a senior level, designs and implements programs and policies to ensure appropriate management of records, including printed, nonprinted, and electronic materials. Recommends best practices and oversees activities associated with the life cycle of records. Maintains knowledge/information in a physical records center and/or a computer-based system. Performs subject classifying and cataloguing of various types of media. Responsibilities include conducting records research, preparing comprehensive summaries, and providing guidance on best practices to business unit customers. Assists departments with setting up and utilizing document and records management systems, structuring filing systems, converting active files, and ensuring proper storage and preservation of inactive records. Researches and recommends new systems and applications to improve information storage, access, and retrieval methods. This position requires in-depth knowledge of best practices and experience in the discipline to provide and improve services. Works independently with minimal guidance and acts as a resource for colleagues with less experience. May guide and advise clerical records staff and direct the work of less experienced Records Analysts. Key Responsibilities

  • Evaluate and determine records management needs for departments and workgroups.
  • Recommend procedures for creation, control, storage, and disposal of records based on best practices.
  • Provide user support for document and records management systems, including troubleshooting.
  • Develop records compliance and retention programs; analyze compliance and lead implementation efforts.
  • Prepare retention schedule drafts and act as liaison between user departments and Records & Archives.
  • Develop and implement quality assurance guidelines and reporting mechanisms for electronic document and records systems.
  • Identify vital records and recommend proper protection procedures.
  • Create documentation of workflows and processes for managing all record types.
  • Develop and administer training programs for staff and user departments.
  • Maintain awareness of current industry trends, best practices, and technologies related to records management.


Minimum Qualifications
  • Nine or more years of experience in records management, archival administration, or library/information science.
  • Degree in records management, library/information science, or a relevant field.
  • Valid driver's license (for Records and Archives roles).


Preferred Certifications
  • CRA, CRM, IGP, ARMA, or International Professional Association of Information Governance certifications.


Knowledge, Skills, and Abilities
  • Strong knowledge of records management principles and best practices.
  • Proficiency in electronic document and records management systems.
  • Skills in taxonomy creation, planning, scheduling, and prioritization.
  • Ability to evaluate complex customer needs and present business justifications.
  • Excellent verbal and written communication skills.
  • Advanced proficiency in records/document management systems and intermediate skills in office productivity tools.
  • Ability to work independently, maintain confidentiality, and manage competing priorities.


Work Environment & Physical Demands
  • Office environment with flexibility to work from home at least 3 days per week unless required onsite.
  • Frequent keyboard/mouse use; occasional lifting of boxes up to 25 lbs (<20% of time).
