Your Role

As a Receptionist in our Dallas office, you will be the first point of contact for our clients, vendors, and staff. The Receptionist represents Gensler's values and professionalism while demonstrating a high level of client service.

What You Will Do

  • Answer phone through Teams and direct callers appropriately or take messages

  • Greet/welcome all guests and notify the appropriate staff member of their arrival

  • Receive applicants for interviews

  • Receive samples from vendors

  • Accept deliveries

  • Process parking validations for clients

  • Assist clients/consultants/vendors & staff with any questions

  • Monitor the conference room reservation system throughout the day and notify appropriate staff of possible conflicts

  • Assist with booking and canceling conference room reservations

  • Ensure lobby, kitchen and conference rooms remain tidy throughout the day

  • Manage Dallas Office Calendar

  • Responsible for placing all catering orders

  • Update phone lists

  • Review the Monthly birthday/anniversary list

  • Update event calendars

  • Assist with administrative projects/tasks/special events, as needed

  • Working with interior designers to assist with keeping the material library tidy

  • Monitor and order supplies for the office and kitchen

  • Coordinate lunches and events

  • Assist with the scheduling of lunch and learns

Your Qualifications

  • Minimum 3-5 years of experience in an administrative capacity

  • Strong attention to detail and multi-tasking skills

  • Excellent organizational and technical skills (MS Office)

  • "Can-Do" attitude: must be able to determine priorities and exhibit a high level of initiative and follow-through

  • Must be able to function well both independently and as part of a team

  • Excellent communication and relationship management skills

  • Ability to interact professionally with all levels of the Firm, clients, and consultants

  • Must be able to work overtime on an as-needed basis

  • Must have a professional personal presentation

  • Must have professional phone-etiquette

  • Must be reliable

This position is in-person. Office hours are 8:30 - 5:30 CST. Successful candidates will be located in the Dallas, Texas area. If you're open to relocating to the area, please apply!
