Position Description The Meeting & Events Senior Sourcing Specialist will develop and maintain relationships with suppliers and be the lead in reviewing and vetting hotel and other 3rd party contracts. Provide expertise and destination knowledge to internal stakeholders and clients in order to support the selection of and to negotiate the terms of venues as necessitated by the client's event and procurement needs. The senior sourcing specialist should have expertise with the various components of meeting planning, highly proficient in understanding complex contractual terms and negotiation tactics. Provide expert support to the client's specific program requirements. * * Support Strategic Meetings Management and Venue Sourcing procurement clients through utilization of the Cvent tool as described by client agreement * Conduct hotel space searches for 100% of workload through Cvent o Responsibilities also include calling venues directly and working with CVB's based on client specifications * Manage high-volume of requests, handling sourcing for 20-40 programs at any given time * Complete understanding on the functionality of Cvent in order to advise and educate client users * Negotiate best possible rates and program concessions for the component of SMM Procurement, leveraging client supplier relationships, utilizing processes and procedures outlined in the client agreements * Be knowledgeable of the client contract process, their legal addendums, ensuring client is appropriately informed of and represented in all terms and conditions contained within * Identifies ancillary revenue sources and/or cost savings opportunities * Develops budget for meeting, in partnership with project lead, which includes collaborating and/or leading negotiations on all vendor contracts, independently related to a particular event, such as hotels, DMC and transportation companies * Gives counsel and expert opinion on appropriate geographical location and venues that would best fit client/project needs * Build and maintain strong client knowledge by attending weekly conference calls to further define; re-define process and procedure * Works collaboratively across teams to ensure a seamless delivery to the client and conducts turnover meetings as appropriate * Proactively escalate potential client or supplier challenges to manager/Account Director/ IR for resolution * Stay current with supplier agreements, relationships and industry trends through attendance at weekly team meetings, supplier presentations, educational trips and industry trade shows * Leads work-in-progress calls and keeps operations manager apprised of proposal status * Works with operations manager to appropriately manage team work-flow to drive efficiencies and accountability * Provide guidance and offer recommendations to team members not actively involved in SMM Procurement on a daily basis * Fully support the larger Strategic Travel & Event Procurement team through workload sharing, and brainstorming opportunities * Perform other duties as assigned. #LI-Remote Qualifications
Position Requirements * Experience & education: * College diploma or degree in related field * Minimum of 5 - 7 years of current relative meeting/sourcing experience, including at least 3 years handling large volume along with more complex events * An equivalent combination of education and experience may be considered * Proven experience working with client contacts, legal contracts (assessing risk mitigation in contracts) * CMP designation / Formal project management designation/training are assets. * Languages o Regional language requirements: * NORAM: English * Knowledge, skills and abilities (KSAs) * Superior knowledge of Microsoft Office products and Cvent * Expert travel industry knowledge * Extensive knowledge of Project Management procedures * Knowledge of electronic meeting management tool * Excellent oral/written communication skills to communicate internally and externally * Critical thinking skills * Strong organization, planning and attention to detail * Exceptional customer service skills * Strong negotiating skills * Ability to set priorities and multitask in a fast-paced, multi-project environment * Talent to work as a team player and independently * Capability to process financial information * Capability to learn quickly * Ability to travel is required CWT is committed to creating a diverse environment and is proud to be an equal opportunity employer.
