Scholarship Accounting Specialist - Central Campus
PRIMARY FUNCTION: Initiates and maintains Foundation, campus-based, and grant scholarships, preparing reports and invoices for funding sources. Uses Banner knowledge and experience to integrate the Financial Aid Module with the Finance Module to assist with the management of the scholarship portfolio and to provide students with accurate scholarship balance information. Assists with the reconciliation of the book scholarship contracts with the bookstores and the business office. Assists with reconciliation of tuition scholarships at the end of the year. Receives and processes invoice and scholarship payments.
Essential Job Functions:
- Assists with the initiation and maintenance of approximately 3,000 to 4,000 scholarship contracts utilizing grants, Foundation, departmental, and third-party funds within the Financial Aid Module and Academic Works, assisting the Manager to maintain criteria.
- Prepares internal and external scholarship reports and assists with balances.
- Assists with scholarship budget set up as directed by the Scholarship Accounting Coordinator.
- Manages athletic meal money for home and away scenarios when the Coordinator is out. Maintains payments for rental and utility usage in athletic apartments as needed.
- Maintains and updates scholarship language and criteria for separate programs within Academic Works as directed by the Scholarship Accounting Coordinator.
- Assists the Coordinator to support bookstore & business office staff with bookstore openings/closings, reconciling all book contract involving grant or College Foundation funds. Assists with the distribution and collection efforts of books from athletes.
- Assists with receipt and processing invoices and scholarship payments
- Extracts Banner activities/transaction data; analyzes and calculates accounting debits and credits.
- Schedules and attends outreach meetings for various scholarship programs as needed
- Assists manager to balance and reconcile all contracts for departmental, Foundation, grant, and third party at end of fiscal year.
Additional Job Functions:
- Enters requisitions and requests student refund and donor reimbursement checks of unused scholarship balances.
- Maintains contact with scholarship directors and students on scholarships.
- Analyzes and corrects student accounts as needed.
Knowledge, Skills and Abilities:
- Ability to demonstrate the College values
- Intermediate level knowledge of Banner Software in Finance Module
- Advanced knowledge of Banner Software in Student Module with emphasis on Third-Party Contract, Microsoft Excel, Microsoft Word, Outlook
- Ability to type 50 wpm and 10-key by touch.
Required Education and Experience:
- Associate degree and two years of office-related experience or high school diploma/equivalent and five years of office-related experience
Preferred Experience:
- Grant/scholarship experience
