| Brief Summary of Work for this Position |
The Executive Assistant provides high-level administrative support to the Associate Provost, two sub-unit Directors, and the staff of the Office of Institutional Research and Planning (
IRP). This role supports a team of 16 professional staff and several student/temporary employees. The ideal candidate is flexible, proactive, customer-service oriented, and able to work independently while anticipating the needs of others. Strong organizational skills, attention to detail, and the ability to manage multiple priorities are essential for success in this position.
Key Responsibilities:
- Manage scheduling for the Associate Provost, Directors, and IRP staff; coordinate departmental meetings and prioritize activities with campus partners.
- Monitor and process departmental budget activities, including purchases, contract renewals, requisitions, and operational transactions; provide recommendations for efficiency.
- Serve as primary Asset Coordinator for technology inventory and lifecycle management; ensure maintenance of departmental devices.
- Advise staff on institutional policies related to travel, procurement, and compliance.
- Organize departmental meetings, retreats, and team-building activities; maintain records, contracts, and meeting minutes.
- Research and resolve departmental issues in consultation with campus partners (HR, budget, procurement, travel).
- Monitor departmental communications (email, phone) and delegate complex requests as needed.
- Maintain and update departmental website in collaboration with leadership and campus partners.
- Support staffing processes, including position searches, candidate scheduling, HR compliance, and PeopleAdmin actions; manage graduate, temporary, and student employment processes; serve as Leave Keeper and Payroll liaison.

| Minimum Education and Experience Requirements |
Graduation from high school and three years of progressively responsible administrative/office management experience; or graduation of a two-year secretarial science or business administration program and one year of experience as described above; or graduation from a four-year college or university, preferably with major emphasis on Business administration or a related field; or an equivalent combination of training and experience. Degrees must be received from appropriately accredited institutions. |

- Experience supporting senior leadership in a higher education or complex organizational setting.
- Strong organizational and project management skills, with the ability to prioritize multiple tasks and meet deadlines.
- Experience in Banner, PeopleAdmin or similar software.
- Proficient in Microsoft Office suite (or comparable programs).
- Experience managing budgets and providing recommendations for efficiency.
