How you will contribute:

In this role, you will be a key driver in ensuring the smooth and successful execution of our FSE (Fire Systems & Equipment) construction projects. You'll support both field and office teams by responding quickly to shifting priorities, handling a wide variety of nonrecurring tasks, and bringing a steady, solutionsfocused mindset to a fast-paced environment. Your ability to pivot without disruption will help keep our teams coordinated, informed, and equipped to perform efficiently in the field.

You will play an important role in organizing project documentation, creating and maintaining technician packets, and preparing materials that support installation and commissioning activities. As an active participant in job scope and weekly progress meetings, you will help guide conversations, assist in running meetings when needed, and capture accurate meeting minutes that support alignment across project teams.

Your contribution will extend to daily operational coordination, where you will schedule technicians, manage calendar changes, and facilitate equipment needs to ensure our field teams have what they need-when they need it. Through consistent communication and exceptional customer service, you will serve as a trusted support partner to field technicians, office staff, managers, and the FSE Superintendent. Your adaptability, attention to detail, and proactive approach will be instrumental in maintaining momentum across projects and elevating the overall success of our FSE operations.

What you need to qualify:

Ideal candidate should bring to Ahern a completed Associate's degree in an administrative program and/or three to five years of administrative support type experience, preferably within the construction industry. Those who will excel as a Project Coordinator will have excellent customer service skills, strong attention to detail, and the ability to thrive in a fast-paced, deadline-driven work environment. Being proficient in Microsoft Office programs, along with being technically inclined to learn industry-specific software such as Bluebeam and Smartsheets will be essential.
