Job Description

PURPOSE OF THE JOB:

This position performs complex administrative work while providing support to executives or other high-level individuals. This role is an extension of the Executive and works hand in hand with, as a business partner ideally to one or more business heads

ESSENTIAL FUNCTIONS:

  • Manages where the executive spends his/her time; arranging schedule, inquiries, issues, etc., handles email account, responds on behalf of executive and often attends meetings on the executive's behalf (sometimes facilitate) and operate with the utmost discretion and confidentiality.

  • Creates and/or assists with the creation of department procedures and policies.

  • Serves as back-up to other Executive Assistants and the needs of executives and oversees processes or tasks that are more complex to the business.

  • Serves as a mentor to less experienced administrative employees. Other administrative employees can have a dotted line reporting relationship to this person and this role may act as the Lead/Supervisor to them.

  • Acts as a liaison for communication throughout the division and communicates with other administrative employees within the organization to assure all divisions are aware of updates. Also acts as liaison to HR, Facilities, other areas within the company.

  • Serves as a point of contact for their business area and liaison inter-departmentally and acts as liaison with HR Business Partner.

  • Prepares annual budget for items related to training and materials, legal fees, consultant fees, membership dues, bonuses and awards, equipment rental, convention expenses, travel, technology usage, employee welfare, etc. and works closely with finance to prepare and/or assist with budget preparation, for both short- and long-term needs.

  • Coordinates and organizes special events, activities, cross-functional projects; often with a high level of visibility.

  • Anticipates issues, problems, concerns and initiate appropriate action to ensure the most effective use of the leader's time. Must be very proactive in this sense.

  • Obtains the ability to approve on behalf of the executive for matters that have impact on the business.

REQUIRED QUALIFICATIONS:

  • Associate degree.

  • Six to eight years of experience.

  • Supervisory/management experience not applicable.

PREFERRED QUALIFICATIONS:

  • Certification or educational background in the field preferred such as CAP (Certified Administrative Professional) or equivalent.

  • Leadership experience or previous supervisory experience is a plus.

  • Must be available after hours to assist with travel disruptions, urgent requests, etc.

JOB FAMILY:

Executive Assistant (U4)

Salary range: $60,000 to $85,000
