JOB DESCRIPTION: CONTRACT COMPLIANCE SPECIALIST

Position/Title: Contract Compliance Specialist

Exempt/Non-Exempt: Exempt

Reports to: Director of Strategic Operations

GENERAL SUMMARY OF POSITION:

The Contract Compliance Specialist oversees the contractual integrity and adherence of purchasing contracts to ensure maximum operational stability and risk mitigation. This role effectively tracks, analyzes, and audits master purchasing agreements and general contracting obligations across public, private, and healthcare sectors. This role is also responsible for personally monitoring and reporting on the compliance standing of both new and existing business accounts to support the company's strategic operations.

CORE & ESSENTIAL:

TASKS:

  • Promotes adherence to contractual terms, service offerings, and regulatory requirements using terms and conditions of existing group purchasing organizations (GPOs) contracts.
  • Audits orders through a meticulous, analysis-based approach to contract management to ensure accuracy and compliance.
  • Manages the administration of cooperative contracts and the overall contract lifecycle to ensure all requirements are met.
  • Demonstrates contract-specific requirements to internal teams and assists in selecting legal subcontracting labor suited to client needs.
  • Coordinates compliance efforts with the contracts team and general contracting arm to ensure sound business decisions.
  • Maintains a broad understanding of U.S. procurement codes to remain compliant with all federal and state standards.
  • Research sources for developing compliance protocols and determines potential risks associated with prospective customers.
  • Reports on customer compliance needs, competitive activities, and potential for new products and services within the manufacturing scope.
  • Provides high-quality customer service to internal departments and accounts regarding contract terms or pricing inquiries.
  • Meets and exceeds metrics related to audit accuracy and reporting deadlines to support company revenue growth.
  • Works closely with the Director of Strategic Operations on all matters related to purchasing contracts.
  • All other duties as assigned.



QUALIFICATIONS & SKILLS:

Possession of at least a high school diploma or equivalent is required. A bachelor's degree in Business, Public Policy, Public Relations, or a related field is required. In lieu of a degree, a comparable combination of education, job-specific certification(s), and experience (including military service) may be considered. Prior experience in contract administration, paralegal work, or sales compliance is required, and previous experience in the Public Sector or certification through NCMA is preferred. Adherence to health and safety regulations (e.g. use of protective gear). Candidates must be results-oriented, demonstrate an aptitude for consultative problem-solving, and be able to work both independently and within a team environment. Proficiency in using Microsoft Office Suite applications and contact management software is required. Driving is a requirement for this position. Therefore, must have the ability to travel domestically via operating a motor vehicle and maintain a valid driver license and driving record which is acceptable to our insurance provider. Must have a vehicle in good working condition and ensure it meets all safety, insurance, and legal requirements. The ability to travel by plane and/or overnight travel may also be required.

PHYSICAL REQUIREMENTS:

Ability to communicate orally in a clear, concise, and effective manner with the customers, account representatives, company representatives, management, staff, and the public in face-to-face, one-on-one and group settings. Ability to use a telephone for communication. Ability to maintain regular, predictable, and punctual attendance at the facility and/or other designated locations. Ability to establish and maintain effective working relationships with others. Use office equipment such as a personal computer, copier, and facsimile machines. Sit, walk, and/or stand for extended time periods. Hearing and vision required to be within normal ranges. Ability to accurately distinguish color variation. Carry, push, pull, reach, and lift up to 30 lbs. Read at, above, and below shoulder height. Occasionally stoop, kneel or crouch. Tolerate inclement weather, including heat and cold. Sufficient manual dexterity required to operate office equipment. Normal range of tolerance to household and other types of typical industrial/ construction chemicals and solvents. Must have the ability to travel by plane, operate a motor vehicle, maintain a valid state motor vehicle driver license, and maintain an acceptable motor vehicle driving record. Overnight domestic and international travel may be required.
