How You'll Make an Impact

The Office Administrator reports to the Manager, Operations and oversees fulfillment operations, office and facilities management, and general administrative support. This role manages mail processing, document imaging, inventory, and member fulfillment activities while ensuring accuracy, compliance, and timely completion of critical operational processes. The Office Administrator maintains vendor relationships, facilities services, and office supplies, and serves as a primary contact for facilities-related requests. Additionally, the role provides backup support for mailed deposits and FED wire approvals, offers notary services, and interacts with members, vendors, and internal teams to promote a professional and positive work environment.

What You'll Be Doing

Fulfillment:



  • Manages fulfillment operations including inbound and outbound postal mail, inventory maintenance, routing of incoming electronic faxes, electronic scanning and archiving, and data entry administration of documents into the Imaging/Content Management system. Serves as bank up for mailed deposits and FED wire approvals.
  • Administers member fulfillment processes including mail merges, new membership packets, annual mailings, Online Banking and IVR check fulfillment, returned mail handling, and member contact data/outreach processes as assigned by Management.
  • Develops, documents, and maintains fulfillment policies and procedures.


Office Management:



  • Maintains office inventory, purchasing supplies, and managing relationships with vendors, service providers, and office lease management.
  • Serves as the primary contact to respond to end-user Facilities incidents and service requests for employees and vendor partners
  • Responsible for management and procurement activities of assigned Facilities vendors.
  • Develops, documents, and maintains facilities policies and procedures.


General:



  • Serves as back up for mailed deposits and FED wire approvals.
  • Provides notary services as needed.
  • Interacts with members across all service channels, including in-person when required. Serves as liaison with vendors and third parties on behalf of members and the Credit Union, as appropriate.
  • Promotes and demonstrates a positive work environment by communicating in a manner consistent with professional standards to work effectively with members, colleagues, management, and vendors.
  • Maintains current knowledge of industry developments including changes in regulations and technology.
  • Ensures adherence to organizational policies and procedures and applicable banking and credit union regulations.
  • Performs additional duties as assigned.


What You Bring to the Team



  • High School diploma required; Bachelor's degree preferred.
  • 3-5 years of office administration experience.
  • Excellent problem-solving, organizational, analytical, verbal and written communication skills.
  • Strong decision making and time management skills with the ability to manage multiple projects/duties.
  • Trustworthy with the ability to maintain highest level of integrity and trust.
  • Holds oneself responsible for job responsibilities and results. This position is assigned critical processes to be completed within processing deadlines with accuracy.
  • Proficiency in Microsoft Office, specifically Word, Excel and PowerPoint.
  • Must be a Notary or able to become a Notary within 60 days of hire

This position requires working onsite five days a week at our corporate office in Purchase, NY.

Compensation & Rewards

Compensation for this role is $26.00 - $35.00 per hour, with the potential for discretionary incentive compensation based on both company and individual performance.
