POSITION SCOPE AND ORGANIZATIONAL IMPACT The Moss Administrative Assistant (AA) will provide comprehensive support to the Executive Assistant (EA), as well as the rest of the Construction Management (CM) Preconstruction Team. This position works at assisting in the development of detailed and procedural processes that improve accuracy and efficiency for the team. ESSENTIAL JOB DUTIES AND RESPONSIBILITIES * Provide administrative support to the CM Precon EA, as well as the Preconstruction Team members as needed * Assist in setting up teleconferences, events, and travel * Provide support for other corporate events, as needed * Manage catering needs * Send and receive mail, documents, and packages * Assist with setting up internal/external staff and client meetings, and preparation of * Assist in document control (physical and electronic) * Agendas and meeting materials * Answer all Preconstruction phone inquiries and emails sent to the main office * Orders Office Supplies and maintains supply room and copy machine, as needed * Demonstrates ability to work in a fast-paced environment * Demonstrates a positive and high-energy attitude * Must be able to lift up to 20 pounds at times * Perform other related duties as assigned EDUCATION AND WORK EXPERIENCE * Bachelor's degree (B.A.) from a four-year college or university; or three-five years related experience and/or training; or equivalent combination of education and experience * Expert in Microsoft Word, Excel, Outlook and Microsoft 365 * Proficiency in SharePoint, Bluebeam, PowerPoint and Procore, a plus * Ability to collaborate and communicate well with all team members including field staff and upper management * Exhibits polite and professional communication via phone, e-mail, and mail * Possess a strong work ethic and exercise a high level of maturity with a positive attitude * Must be detail-oriented with excellent organizational, writing and editing skills * Ability to multi-task under strict deadlines * Strong teamwork skills: ability to work within a collaborative environment * Excellent verbal and written communication skills * Possess an entrepreneurial spirit and ability to think outside the box * Honor relationships with the team, clients, vendors Moss is an equal opportunity employer.
