What to Expect
We are looking for a highly analytical, data-obsessed Occupancy Planner to own the end-to-end occupancy planning process for our dynamic portfolio of labs and office spaces. This is a deeply data-driven role focused on maintaining accurate, real-time space intelligence while building smarter systems that move us away from endless manual Excel work. You will regularly update floor plans and data sheets, perform deep-dive analysis on headcount (HC), desk counts, lab utilization, and space metrics, develop forward-looking forecasts, and create automated platforms and dashboards to streamline the entire workflow. What You'll Do
- Own and maintain accurate CAD/BIM floor plans for labs and offices; conduct regular space walks, audits, and validations to ensure data reflects current reality
- Manage occupancy data sheets, CAFM/IWMS systems, and master databases; keep headcount, desk assignments, lab bench/equipment allocations, and utilization metrics current
- Perform advanced data analysis on HC desk counts, lab space utilization, seat supply vs. demand, occupancy sensor/badge data, and other key metrics to identify trends, inefficiencies, and optimization opportunities
- Build robust forecasting models and scenario planning tools to project future space needs based on headcount growth, lab expansion plans, hiring pipelines, and business roadmaps; deliver 3-5 year forecasts and "what-if" scenarios
- Design and implement automated dashboards, reporting tools, and integrated platforms (e.g., Power BI, Tableau, custom web apps, or database solutions) that eliminate manual Excel processes and enable self-service access for stakeholders
- Translate complex data into actionable recommendations for space reconfiguration, lab repurposing, hybrid work policies, and new site requirements; partner closely with Real Estate, HR, Lab Operations, and business leaders
- Serve as the primary occupancy data expert and collaborator during move planning, restacking projects, and new lab/office build-outs
What You'll Bring
- Bachelor's degree in Facilities Management, Architecture, Industrial Engineering, Data Analytics, or related field or the equivalent in experience and7+ years of experience in occupancy planning, workplace strategy, facilities planning, or related data-heavy role (preferably in R&D/lab-heavy environments)
- Strong proficiency with CAD/BIM tools (AutoCAD, Revit, or Bluebeam) for maintaining accurate floor plans and space documentation
- Advanced Excel skills combined with proven expertise moving beyond spreadsheets (Power Query, Power BI, Tableau, SQL, Python/R, or similar for analysis and automation)
- Demonstrated experience designing and building dashboards, databases, automated reporting tools, or integrated platforms to replace manual processes
- Solid understanding of headcount forecasting, space utilization metrics, and lab-specific planning (including bench space, equipment zones, and shared resources)
- Familiarity with occupancy sensors, badge data, IoT utilization tools, or similar technologies to enhance real-time space intelligence
- Strong data storytelling ability to turn complex analysis into clear leadership presentations, paired with proactive problem-solving, attention to detail, big-picture thinking, and a passion for scalable systems

Expected Compensation
$108,000 - $210,000/annual salary + cash and stock awards + benefits
Pay offered may vary depending on multiple individualized factors, including market location, job-related knowledge, skills, and experience. The total compensation package for this position may also include other elements dependent on the position offered. Details of participation in these benefit plans will be provided if an employee receives an offer of employment.
