Job Summary:

This position is a Program Assistant (PA1) at the Cook County Juvenile Court Clinic (CCJCC). The CCJCC is operated by Northwestern University through a contract with the Cook County Office of the Chief Judge and is the primary provider of forensic mental health evaluations to the Juvenile Justice and Child Protection departments of the Cook County Circuit Court. The PA1's primary role is to assist with the CCJCC's record gathering function, which includes completing intakes with the subjects of court-ordered forensic evaluations to identify record sources, obtaining signed authorizations for release of records, submitting records requests to community agencies (e.g., schools, hospitals, mental health treatment providers, correctional settings), and following-up on these requests until they are resolved. Timely record gathering supports the CCJCC's mission of providing comprehensive forensic evaluations that incorporate data from multiple sources. The PA1 also supports the daily operations of the CCJCC by assisting with routine clerical and administrative tasks as directed, which may include but is not limited to reception coverage (answering phones, greeting visitors), data entry, and filing.

Specific Responsibilities:

Record Gathering

• Prepares & types form letters, memos, emails, labels, routine correspondence, etc.
• Submits written requests to school, hospitals, and other agencies for records to be used in CCJCC court-ordered forensic evaluations.
• Carries out established protocols for obtaining requested records.
• Enters information into spreadsheets & databases.
• Documents work effort related to record gathering in CCJCC case management system

Undergraduate Intern Task Supervision

• Trains one undergraduate intern each semester to complete intake interviews and record gathering
• Provides ongoing support to undergraduate interns throughout their internship

Miscellaneous

• Acts as backup to obtain information for intake of court-ordered referrals and record gathering.
• Assists with various Program Evaluation projects.
• Assists with a variety of office management tasks and other assignments to support the Clinic Director and Associate Director.

Minimum Qualifications:

• A high school diploma or its equivalent along with 1 year of administrative support experience is required.

• 1 year of administrative support or other relevant experience required.

Minimum Competencies: (Skills, knowledge, and abilities.)

• Basic knowledge of word processing, spreadsheet, email, and database software programs is required.

• Demonstrated ability to work on multiple projects simultaneously

• Strong oral and written communication skills

Preferred Qualifications:

• Bachelor's degree with 2 years direct experience in office administration or the equivalent combination of education

• and experience where comparable knowledge, skills and abilities can be acquired.

Preferred Competencies: (Skills, knowledge, and abilities)

• Bilingual in Spanish

Target hiring range for this position will be between $17.05 - 23.98 per hour. Offered salary will be determined by the applicant's education, experience, knowledge, skills and abilities, as well as internal equity and alignment with market data.
