We are seeking an Operations Assistant to join our team in a full-time, temporary capacity. This role will support the development and execution of the company's knowledge management function and is designed as a learning opportunity. The Operations Assistant will help organize information, maintain resources, and improve how team access and share knowledge across the organization.

In this role, you'll collaborate closely with team members to support ongoing initiatives, contribute to process improvements, and gain exposure to knowledge management systems and operational workflows. A key responsibility includes onboarding and training employees on knowledge tools to drive adoption and consistency. The Operations Assistant will also help strengthen company culture by coordinating events that foster collaboration, trust, and organic knowledge sharing throughout the organization.

Essential Duties and Responsibilities:

  • Help develop and maintain a knowledge management roadmap that defines how information is created, organized, stored, and shared across the company.
  • Assist with drafting and implement policies and standards to ensure consistent and effective knowledge sharing practices.
  • Assist in analyzing and optimizing workflows to improve how employees access, use, and contribute to internal knowledge resources.
  • Assist with Managing and maintaining knowledge repositories, including the Employee Resources site, internal databases, and file management systems.
  • Assist with regular audits of existing documentation and processes to ensure accuracy, relevance, and completeness.
  • Support onboarding and training of employees on knowledge management tools and best practices to drive adoption and usability.
  • Assist in identifying opportunities to streamline, enhance, or automate operational processes and assist in executing pilot programs.
  • Collaborate with cross-functional teams to gather feedback and continuously improve knowledge systems and processes.
  • Provide general administrative and operational support, including assistance with special projects, as assigned.

Job Requirements / Qualifications:

  • Currently pursuing a graduate degree in Business or related discipline; or Bachelor's degree in Business, Accounting, or related discipline required; equivalent experience considered.
  • Proficiency in Microsoft Office Suite (Word, Excel, Outlook, PowerPoint).
  • Excellent verbal and written communication skills.
  • Strong organizational skills and attention to detail.
  • Professional appearance and demeanor.
  • Ability to manage confidential information with a high level of discretion.
  • Current Covid and Flu Vaccination may be required in order to be considered for the position due to client contract requirements.
