Description

Front Desk Reception:



  • Greet visitors and guests in a warm and friendly manner, providing excellent customer service.
  • Manage incoming calls, transferring calls to the appropriate departments or taking accurate messages.
  • Maintain a professional reception area, ensuring a welcoming environment.
  • Handle incoming and outgoing mail, packages, and deliveries.
  • Schedule appointments as needed for the Head of the Upper School.


Administrative Support:



  • Provide administrative assistance to the Head of the Upper School
  • Primary responsibility for attendance documentation and processing.
  • Assist with document preparation, data entry, and maintaining records and files.
  • Conduct research and compile information as requested.
  • Coordinate and organize office events, meetings, and conferences.
  • Assist with inventory management and ordering office supplies.
  • Process Upper School purchasing card transactions.
  • Communication and Correspondence:
  • Respond to inquiries, emails, and correspondence promptly and professionally.
  • Communicate positively with internal staff, families, and all other stakeholders.
  • Assist in drafting and proofreading documents, reports, and presentations.


Office Operations:



  • Collaborate with various departments to ensure smooth office operations.
  • Coordinate with IT and facilities management for equipment and facilities maintenance and repairs.
  • Monitor and maintain office supplies and inventory levels.
  • Assist in implementing and improving office policies and procedures.
  • Manage student office workers as needed/desired.
  • Record and reconcile bank statements, credit card statements, and other financial transactions.
  • Maintain accurate and complete financial records, including sales, purchases, receipts, and payments.
  • Monitor the spending activity of the Upper School.


Qualifications:



  • High school diploma or equivalent; additional certification or associate's degree in office administration is a plus.
  • Proven experience as an administrative assistant, receptionist, or in a similar role.
  • Proficiency in the use of Google Workspace and the ability to learn new software quickly.
  • Excellent verbal and written communication skills.
  • Strong organizational and time management abilities.
  • Attention to detail and problem-solving skills.
  • Ability to multitask and prioritize tasks effectively.
  • Professional demeanor, discretion, and strong customer service orientation.
  • An active Christian faith and alignment with Lipscomb Academy's mission and values
