The Procurement & Sourcing Coordinator I/II coordinates and facilitates the procurement of assigned commodities and services, ensuring efficient processing, regulatory compliance, and effective support of university operations. Manages procurement activities from initiation through completion, including formal and informal solicitation requirements.

Job Description Typical duties include but are not limited to:
- Facilitates the procurement process from initiation to completion for the acquisition of goods and services.
- Processes purchase orders with accuracy and according to established timeliness.
- Processes designated purchases with key suppliers, including punchout catalog transactions.
- Reviews requisitions and purchase orders for accuracy and compliance with applicable regulations, policies, and procedures.
- Prepares bid specifications, legal advertisements, and formal solicitations, and requests for proposals, as applicable.
- Receives and evaluates competitive and non-competitive submissions and assists with contract award and administration activities.
- Reviews and executes low-risk contract purchases, including commodity and service agreements, hotel agreements and independent contractor agreements.
- Coordinates cooperative and piggyback purchasing opportunities for goods and services.
- Processes single and sole source requests that do not require negotiation.
- Researches and resolves purchasing and invoice discrepancies.
- Ensures compliance with university regulations and departmental policies for all procurement activities.
- Collaborates with internal business partners to support procurement needs, promote clear communication, and reduce workflow bottlenecks
- Manages department helpdesk and responds to procurement and supplier inquiries via email.
- Recommends improvements to policies, procedures, and internal controls to enhance operational efficiency.
- Maintains Financial Disclosure in accordance with Chapter 112, Florida Statutes.

- This position requires either five years of directly related full-time experience or, as an alternative, a Bachelor's degree from an accredited institution in Accounting, Business Management, Public Administration, or other closely related field and one year of full-time experience directly related to the job functions.
- Professional experience in procurement including formal solicitation processes.
- Experience operating a personal computer and proficient with Microsoft Office (Word, Excel, Outlook).
- Any appropriate combination of relevant education, experience, and/or certifications may be considered.
Required Qualificationsfor Procurement & Sourcing Coordinator I:
- This position requires either seven years of directly related full-time experience or, as an alternative, a Bachelor's degree from an accredited institution in Accounting, Business Management, Public Administration, or other closely related field and three years of full-time experience directly related to the job functions.
- Professional experience in procurement including formal solicitation processes and contract negotiations and contract drafting.
- Experience operating a personal computer and proficient with Microsoft Office (Word, Excel, Outlook).
- Any appropriate combination of relevant education, experience, and/or certifications may be considered.
Knowledge, Skills & Abilities:
- Knowledge of university policies and procedures, applicable local, state, and federal regulations related to purchasing.
- Knowledge of or ability to learn Workday or similar enterprise financial management software application and e-procurement and contract management software.
- Excellent interpersonal, verbal, and written communication skills.
- Excellent organizational skills and the ability to prioritize and complete simultaneous projects.
- Skill in completing assignments accurately and with attention to detail.
