We are excited to announce that we have an opening in our Clarksburg, MD office for a top-notch Executive Administrator. This role reports to the CEO/ President of Thales Defense & Security, Inc. and is best suited for someone who enjoys regularly working on-site and interacting and engaging with people at all levels of an organization.

Responsibilities




  • Manage logistics of the Executive Office to include Senior Staff and the Board of Directors with discretion and confidentiality.


    • Manage calendar, scheduling meetings, answering phones, within area of responsibility.
    • Plan meetings, make travel arrangements and plan/support company events.
    • Manage visit and proxy requests.
    • Responsible for processing purchase requests, expense reports, tracking invoices, ensuring payment for invoices, etc.
    • Monitor department spending by tracking payment of department invoices, purchase requests for office equipment or other office related supplies.


  • Proficient at creating, editing, and proofing communications. Assist with the composition, review and formatting of department related notes, internal and external correspondence and PowerPoint presentations.
  • Coordinate and/or assist in the planning of customer meetings that take place either on or off-site.

  • U.S. Citizenship required. - Applicants selected may be subject to a government security investigation and must meet eligibility requirements for access to classified information.
  • Bachelor's degree preferred, or equivalent work experience.
  • 10+ years of executive support, to include C-Level/ Senior Staff.
  • Excellent organizational skills and work ethics.
  • Effective oral and written communication skills and the ability to manage multiple projects.
  • Excellent Microsoft Office Skills (Word, Excel, Outlook and PowerPoint).
  • Exercises solid judgment, discretion and confidentiality.
  • Ability to work in a team environment and interact with employees in all departments and functions.
  • Ability to see a problem and create a solution.
  • This role requires occasional (5%) local or domestic travel to support offsite events.



The annualized pay range for this role is $90,000- $130,000 USD along with a target incentive compensation plan (ICP) of 5%. The pay range provided is a good faith estimate representative of the experience level for the role described above. TDSI considers several factors when extending an offer, including but not limited to, the role, function and associated responsibilities, a candidate's work experience, location, education/training, and key skills.
