What to Expect
We are seeking a detail-oriented and proactive Contract Administrator to support the Facilities Operations & Maintenance team in managing critical service and supply contracts across Tesla's manufacturing and operational infrastructure. This role is ideal for a recent graduate or early-career professional eager to build a foundation in contract administration, vendor management, and cross-functional operations. You will play a key role in ensuring that maintenance, repair, and logistics contracts are accurately documented, compliant, and executed efficiently. This includes managing agreements with third-party logistics (3PL) providers, facilities service vendors, and equipment suppliers all vital to keeping facilities running safely, reliably, and at peak performance.
What You'll Do
- Administer and track contracts for facilities maintenance services (e.g., HVAC, electrical, plumbing, cleaning, security, landscaping) and third-party logistics (3PL) providers (e.g., warehousing, freight, delivery, inventory handling)
- Maintain accurate, organized, and audit-ready contract files (digital and physical), including POs, change orders, SLAs, invoices, and compliance documentation
- Support the onboarding of new vendors and 3PL partners, including verification of insurance, certifications, and safety compliance.Respond to internal requests for contract information, including scope, pricing, and historical performance data
- Coordinate with internal teams (engineering, maintenance, logistics, procurement) to align contract terms with operational needs, delivery schedules, and service requirements
- Assist in the preparation and processing of purchase orders, invoices, and delivery confirmations using internal systems (e.g., SAP, Procore, SharePoint)
- Monitor contract performance against SLAs - including on-time delivery, service response times, and quality standards - and escalate issues as needed
- Track and report on key performance metrics for 3PL and maintenance providers (e.g., fill rate, downtime, compliance incidents). Support contract renewals, audits, and closeouts with complete documentation and feedback summaries
What You'll Bring
- Experience with contract management tools (e.g., Procore, Aconex, DocuWare, SharePoint)
- Exposure to third-party logistics (3PL) operations, including warehousing, freight, delivery scheduling, or inventory management
- Familiarity with CMMS (e.g., IBM Maximo, Fiix) or WMS/ERP systems (e.g., SAP PM, Oracle)
- Understanding of Inco terms, freight terms, or supply chain compliance standards
- Knowledge of OSHA, NFPA, or facility safety regulations
