Under the direction of the Associate Dean of Student Affairs and Assistant Dean of Student Affairs for Career Advising, this position will perform a wide range of coordination and support services to the Office of Student Affairs (OSA). This includes working with sensitive personal and academic student data. A significant component of this role entails collecting, tracking, and creating reports of student information for review by members of the OSA. Categories of student data that is collected and tracked includes academic information, advising and mentoring information, residency applications and related information, and follow up tracking from student-related committees. The OSA is also responsible for planning and executing events throughout the academic calendar, ranging from orientations and convocations, to match day celebrations and commencement ceremonies for the School of Medicine; this position will assist in the planning and logistics arrangements surrounding those events. This position will join a collaborative team and contribute to the services provided in support of medical students at Sint Louis University School of Medicine.

Job Duties

  • Assists in collecting data and maintaining databases relevant to student academic progress and student advising/mentoring meetings and student career specialty interest
  • Coordinate data collection efforts, including surveys and feedback processes related to student programs, specialty-specific advisors and prepare organized summaries and reports
  • Assists with maintaining updated career advising resources for students and advisors
  • Assists in creating, collating, and updating Canvas pages and digital resources for career advising resources
  • Assists in ensuring students have access to and are completing careers in medicine programming under the direction of the Assistant Dean of Student Affairs
  • Assists in compiling student information for inclusion in the Medical Student Performance Evaluation (MSPE) for their residency applications
  • Assists student interest groups and faculty in maintaining updated records and activity
  • Assists in the coordination of medical school events, including but not limited to: first year student orientation, white coat ceremony, second and fourth year student convocation, match day ceremony, senior awards banquet, school of medicine pre-commencement ceremony
  • Assists in the coordination of student wellness activities and events
  • Processes payments and contracts for student affairs expenses and office needs
  • * Other duties as assigned

  • Strong interpersonal and human relations skills (this role is student-facing)
  • Knowledge of web-related technologies, resources, and strategies including Canvas
  • Proficient in Microsoft products including Word, Excel, and PowerPoint
  • Ability to manage multiple tasks simultaneously
  • Ability to maintain confidentiality and adhere to FERPA regulations
  • Ability to work effectively with a range of students from many backgrounds

Minimum Qualifications

Bachelor's degree in related field, supplemented with 1 or more years of related work experience
