Base Compensation Range: $88,500 - $110,500
*In addition, you qualify for:



  • Annual bonus opportunity of 12% based on company performance
  • Annual equity award of $10,000

Job Summary

The Executive Assistant is responsible for high-level administrative support to the CEO, facilitating efficient office operations and effective communication within the organization. Handles details of a highly confidential and critical nature. Collects and prepares information for use in discussions/meetings of executive staff and outside individuals. Prepares presentation materials for board of director meetings. Makes high-level contacts of a sensitive nature inside and outside the company. Works on problems of diverse scope where analysis of data requires evaluation of identifiable factors. Exercises judgment within generally defined practices and policies in selecting methods and techniques for obtaining solutions.

Duties/Responsibilities:

Executive Support

* Calendar Management: Maintain and manage complex executive calendars, scheduling appointments, meetings, and travel arrangements with precision.

* Communication Liaison: Act as a primary point of contact between executives and internal/external stakeholders, managing inquiries and correspondence effectively.

Meeting Coordination

* Agenda Preparation: Prepare agendas, materials, and presentations for meetings; take minutes and follow up on action items.

* Logistics Management: Coordinate meeting logistics, including venue arrangements, catering, and technology setup.

Project Management

* Task Coordination: Assist in managing projects and initiatives, tracking deadlines and deliverables to ensure timely completion.

* Research Support: Conduct research and compile data for reports, presentations, and executive decision-making.

Document Management

* Report Preparation: Draft, edit, and finalize correspondence, reports, and presentations, ensuring accuracy and professionalism.

* Filing and Organization: Maintain organized electronic and physical filing systems for easy access to important documents.

Budget and Financial Administration

* Expense Tracking: Manage executive expense reports and budget tracking, ensuring compliance with organizational policies.

* Financial Reporting: Assist in the preparation of financial reports and documentation for executive review.

Confidentiality and Compliance

* Information Management: Handle sensitive and confidential information with the utmost discretion and professionalism.

* Policy Adherence: Ensure adherence to company policies and procedures related to administrative functions.

Education/Experience:

* Bachelor's degree in Business Administration, Management, or a related field.

* Minimum of 5 years of executive administrative support experience.

Knowledge & Skillsets Required:

* Advanced proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook) and familiarity with project management tools.

* Exceptional organizational and multitasking skills with a keen attention to detail.

* Excellent verbal and written communication skills, with the ability to interact professionally with stakeholders at all levels.

* Strong interpersonal skills and the ability to work collaboratively within a team.

* High level of integrity and professionalism.

Physical Demands:

* Sitting: Often for extended periods at desks or meetings.

* Standing or walking: Occasionally for meetings or office tasks.

* Using computers: Typing and using office equipment.

* Lifting: Light, less than 10 pounds.

* Repetitive motions: Frequent use of keyboard and mouse.

Environmental Conditions:

* Workspace: Climate control (air conditioning or heating) to ensure comfort.

* Lighting: Adjustable lighting to reduce eye strain.

* Noise Levels: The noise level is moderate, with occasional interruptions from phone calls and conversations. Use non-canceling headphones if necessary.

* Ergonomics: Workstations with desk and adjustable chairs to support good postures.

* Ventilation: Good ventilation to ensure a comfortable working environment, though this can vary depending on the building.
