This role supports senior leadership by handling day-to-day administrative, operational, and personal tasks. You'll manage busy calendars, coordinate meetings and events, assist with travel, and act as a key point of contact across internal teams and external partners.
*What You'll Be Responsible For:* *Executive Support* * Manage calendars, schedule meetings, and coordinate board meetings * Handle incoming calls, emails, and mail * Draft, edit, and send executive and company communications * Order meals for meetings and keep office hospitality supplies stocked * Assist with document notarization when needed *Foundation Support* * Respond to donation requests and route or decline as appropriate * Coordinate board meetings and maintain records * Manage charitable payments and track foundation expenses * Help organize participation in charity events *Sales & Corporate Events* * Plan and coordinate offsite events like golf outings, meetings, and visits * Manage invitations, RSVPs, and travel logistics (flights, hotels, transportation) * Support event execution (catering, name badges, large group reservations) * Assist sales leadership with documentation, contracts, and materials * Maintain distributor records and internal systems * Support VIP visits, holiday mailings, and trade show coordination *Office Administration* * Order supplies and coordinate equipment repairs * Maintain shared spaces like breakrooms and kitchens * Help route and track customer product issues *Family Office Support* * Coordinate personal travel and detailed itineraries * Manage and track personal expenses and bills * Maintain records for vehicles, licenses, and important documents * Assist with gifts, flowers, and holiday mailings * Organize financial documents for tax prep * Coordinate with household vendors and track property-related needs * Keep secure records (passwords, documents) and monitor emails for action items *Legal & Compliance Support* * Assist with real estate and legal document processing * Prepare, notarize, scan, and send legal paperwork * Support scheduling for legal-related meetings (patents, trademarks, etc.) * Track expenses like loans, utilities, and taxes *What They're Looking For:* * 10+ years of executive assistant experience supporting senior leaders * Strong organization skills and attention to detail * Ability to handle confidential information professionally * Experience with event planning, travel coordination, and expense tracking * Strong communication and writing skills * Comfortable with Microsoft Office, SharePoint, and standard systems * Notary certification is a plus * Background supporting accounting or legal teams is a plus *Job Type & Location*This is a Permanent position based out of Fitchburg, WI. *Pay and Benefits*The pay range for this position is $80000.00 - $95000.00/yr.
