What You Will Do:

GFTis seeking an Administrative Assistantto join our Administrative Support team. This role follows a hybrid-remote format requiring a minimum 3 days onsite office attendance, reporting to our Mechanicsburg, PA office.

GFT's Shared Service Services team, which includes Human Resources, Legal, Accounting & Finance, IT Services and Marketing & Communications, is essential for managing and supporting the company's global operations. Shared Services is part of a broader strategy to transform the business and improve efficiency. The support of this amazing team of professionals is the backbone of our ability to deliver infrastructure consulting and design services.

What you'll be challenged to do:

The Administrative Assistant reports to the Chief of Staff and provides general to intermediate office and administrative support with minimal guidance from the supervisor. Supports efficiency and smooth office operations. Some duties may require handling of confidential administrative duties.

In this capacity, the successful candidate will be responsible for the following:

  • Supports and assists corporate executive leaders including but not limited to the: Chief Legal Officer, Chief of Staff, Chief People Officer, and Chief Technology Officer.
  • Assists with and prepares communication information for employees within the assigned office and regional areas.
  • Supports travel and meeting arrangements.
  • Supports timesheet and expense account entries.
  • Processes conference, seminar, and training registrations.
  • Administers employee certification maintenance, and annual resume update support.
  • Completes document updating and formatting, including plans and specs, reports and transmittals.
  • Assists with PowerPoint presentations and proposal submissions.
  • Assists with processing human resources related forms; i.e. PCNs, iCIMs onboarding and offboarding while ensuring employee confidentiality.
  • Reviews and process vendor invoices and tracks accounts payable.
  • Maintains appropriate filing systems.
  • Performs other job-related duties as assigned.
Education | Experience:

What you will bring to our firm:

  • High School Diploma or equivalent.
  • 2+ years of administrative experience with a High School Diploma OR Bachelor's or Associate's degree with 0-2 years of experience.
  • Ability to learn and practice company policies and procedures.
  • Intermediate or advanced skills in Microsoft Office Suite and 365 (Word, Excel, Outlook, etc.).
  • Strong communication, organizational, and multitasking skills.
  • Ability to meet deadlines with accuracy and attention to detail.
  • Able to work independently or collaboratively as a member of a team.
  • Ability to assist in the development and implementation of training programs.

What we prefer you bring:

  • Associate's or Bachelor's degree.
  • Prior experience with Artificial Intelligence (AI) tools or willingness to learn.
  • Experience in the Architecture, Engineering, and Construction (AEC) industry.

Compensation:

The salary range for this position is $50,000 - $60,000. Salary is dependent upon experience and geographic location.
