Client Intake and Rates Coordinator

Our client is seeking an experienced Client Intake & Rates Coordinator to join their Kansas City office. This role is a great fit for someone with law firm, corporate finance, billing, client/matter maintenance, or rates experience who enjoys detail-oriented work in a fast-paced professional services environment. The ideal candidate will bring strong Excel skills, excellent communication, and hands-on experience with Elite 3E.

This position supports new matter setup, billing rate maintenance, client guideline review, and ongoing file maintenance to ensure accurate billing and invoice generation. Corporate or legal industry experience is highly preferred.

Key Responsibilities:



  • Monitor daily new matter activity and complete billing setups, including client billing guidelines, invoice delivery methods, billing fields, and matter details
  • Create and update bill groups, addresses, contacts, matter plans, and split billing setups
  • Review Outside Counsel Guidelines to ensure billing compliance, including expense restrictions and eBilling requirements
  • Maintain client, matter, and timekeeper files, including file closings, mass edits, time revaluing, reporting, and related administrative updates
  • Manage a shared inbox and respond promptly to rate information requests and billing setup changes
  • Implement and maintain approved charge-out rates in partnership with legal and pricing teams
  • Generate ad hoc reports and complete daily reporting requests as needed
  • Maintain confidentiality with all client, firm, and financial information


Ideal Background:



  • Bachelor's degree preferred, ideally in Accounting, Business, Finance, or a related field
  • 1-3 years of experience in a law firm finance department, legal billing, client intake, rates, or comparable corporate setting
  • Elite 3E experience strongly preferred
  • Understanding of billing rate hierarchy, client/matter maintenance, and complex billing setups
  • Advanced Microsoft Excel and Microsoft Office skills
  • Strong written and verbal communication skills with the ability to work directly with attorneys, finance teams, clients, and vendors
  • Ability to manage multiple priorities, meet deadlines, and work overtime when needed
