What Your Job Will Be Like

We are seeking multiple Office Management Assistants to provide administrative support for several teams within the California National Security Products Center. Our Office Management Assistants are the face of their departments and maintain a professional demeanor in a dynamic and busy environment. You will work independently and as part of a team, exercising initiative and managing multiple issues simultaneously, while handling constantly changing priorities.

On any given day, you may be called on to:

  • Provide administrative support to managers and groups that work a combined schedule of remote and onsite work schedules.
  • Maintain multiple calendars, answer phone calls, make travel arrangements to include clearance requests/submittals to other sites, submit travel expense reports, coordinate timely submittal of timecards, and arrange meetings which include teleconferencing and videoconferencing.
  • Assist with running meetings and may be asked to collect and distribute minutes.
  • Provide Classified accounting specialist (CAS) duties (training provided).
  • Serve as the information source on organizational policies and procedures
  • Assist with new hire onboarding including setting up new offices and assisting with office moves.
  • Order office supplies and other purchases as needed, collect and distribute office mail, assist with property and training coordination.
  • Arrange tours and coordinate accommodations for visitors from federal agencies, visiting managers, and other senior leadership (as needed and allowed per new federal guidelines).
  • Coordinate candidate interview schedules and travel.
  • Other responsibilities include preparing presentations, providing helpdesk support, coordinating permitted activities, submitting badge requests, and providing support to security escort services.
  • Track the status of the organization's environmental health and safety self-assessments and findings.
  • Collaborate closely with Center admins and partner with administrative staff division-wide, labs-wide (CA and NM), and with external stakeholders to foster a cooperative environment and ensure Center success.
  • Support the 8400 OMA team on center-level projects and provide temporary backup to other assistants as needed to maintain full coverage for 8400.

Due to the nature of the work, the selected applicant must be able to work onsite at the Livermore, CA facility.

Salary Range

$66,100 - $106,000

*Salary range is estimated, and actual salary will be determined after consideration of the selected candidate's experience and qualifications, and application of any approved geographic salary differential.

Qualifications We Require

  • High school diploma plus three or more years of directly related experience or equivalent combination of education and experience.
  • Proficient with Microsoft Word and Outlook.
  • Ability to obtain and maintain a DOE Q-level security clearance as well as an elevated clearance (e.g. sigma 14 and/or SCI level security clearance).
Qualifications We Desire

  • Good interpersonal and communications skills.
  • Proven experience handling sensitive information.
  • Experience providing administrative support (this includes supporting remote staff and/or managers).
  • Proficient with all of Microsoft Office including Excel, PowerPoint and other web-based applications.
  • Active DOE security clearance (L or Q), or equivalent.
  • Experience working in a fast paced, dynamic environment.

NNSA Requirements for MedPEDs

If you have a Medical Portable Electronic Device (MedPED), such as a pacemaker, defibrillator, drug-releasing pump, hearing aids, or diagnostic equipment and other equipment for measuring, monitoring, and recording body functions such as heartbeat and brain waves, if employed by Sandia National Laboratories you may be required to comply with NNSA security requirements for MedPEDs.

If you have a MedPED and you are selected for an on-site interview at Sandia National Laboratories, there may be additional steps necessary to ensure compliance with NNSA security requirements prior to the interview date.
