General Information:

The office of Planning, Analytics, and Institutional Research (PAIR) is accepting applications for an Office Manager position.

The Office Manager will serve as the administrative assistant to the Executive Director, manage multiple budget lines, serve as building coordinator, and provide support to the faculty qualifications process.

Duties and Responsibilities:



  • Serves as the office manager and fiscal technician for PAIR. This includes answering phones, managing multiple budget lines, ordering supplies, archiving office documents, managing inventory of office documents and equipment, and handling other office manager duties as required.
  • Coordinates logistics for job interviews related to vacant positions.
  • Proofreads documents such as reports and studies and formats them to ensure compliance with universal design principles.
  • Serves as the executive assistant for the executive director. Duties include scheduling meetings, completing travel reimbursements, completing travel logistics, updating executive director on status of the budget, taking minutes for occasional meetings, administratively supporting associate directors at the discretion of the executive director, and conducting other administrative duties to support office leadership.
  • Supports faculty qualifications process by receiving, scanning, and cataloging faculty transcripts and supporting Associate Director for Planning and Accreditation as needed with faculty qualifications.


Qualifications:

Required:



  • Excellent communication skills with the ability to interact effectively and professionally with multiple customer bases in person, over the phone and via email.
  • Must be self-directed and able to balance, prioritize and complete multiple tasks with limited supervision.
  • Ability to work independently as well as part of a team, including the ability to interact easily with a variety of individuals.
  • Good judgement and decision-making skills.
  • Exceptional organization skills, attention to detail, and ability to be flexible.
  • Relevant administrative experience in an office setting.
  • Openness to change and learn new skills, particularly as it relates to information systems and new technologies.
  • Ability to manage complex data spreadsheets, locate and interpret data from different sources, and manipulate dashboard filters to produce accurate results to questions.
  • Strong interpersonal and listening skills.
  • Fluency in the Window computer operating environment and Microsoft Office Suite products, including the ability to create and manage
  • Excel spreadsheets and knowledge of e-mail, scheduling and spreadsheets.
  • Ability to manage the Executive Director's calendar.
  • Ability to demonstrate professionalism and maintain confidentiality.


Additional Considerations:



  • Previous related experience in a higher education setting or state agency in Virginia.
  • Experience with the following PeopleSoft systems: Student Administration, EMS, eVA, Finance, Chrome River, SPCC and AiM or similar software.
