Min T/E Requirements
A Masters Degree is preferred in Student Development, Higher Education Administration or other related disciplines from an accredited college or university required. Two (2) years of experience in a college or university setting; demonstrated ability to develop and maintain relationships with college students; and excellent communication and project management experience. Candidates must demonstrate evidence of knowledge, understanding and experiences of personal involvement with community engagement and public service. Candidates must have the ability to work well with a diverse university student population and minority community organizations.

Primary Purpose of Organization Unit
The James B. Chavis Student Center serves as a central hub for student engagement, campus life, and community connection by operating key campus spaces and delivering essential services to students, faculty/staff, and community partners. The Center supports the holistic development of students through functional areas including student activities, student organizations, and fraternity and sorority life. It fosters involvement, leadership, and a sense of belonging by providing programs, resources, and collaborative opportunities. Through its facilities and services, the Center enhances the overall student experience and contributes to student success.
Primary Purpose of Position
The Assistant Director is responsible for the day-to-day building operations of the James B. Chavis Student Center and the University Center Annex. This position provides strategic and operational leadership for facility management, event services, and customer experience across multiple campus venues. The Assistant Director exercises independent judgment in the administration of policies, operational decision-making, and resource allocation to ensure efficient, compliant, and high-quality services. The Assistant Director manages the facility reservation system for the James B. Chavis Student Center, the University Center Annex, and other designated spaces on campus. The position coordinates facility setup and services logistics and communicates directly with the point(s) of contact for each group. The position is accountable for developing and maintaining operational standards, assessing service effectiveness, and implementing continuous improvements. The position sustains the efficient operation and management of reservations and services for all supported facilities. The position ensures the physical integrity of all Student Center and Annex facilities, buildings, grounds, and services to maintain safe and efficient operation. The position has full supervisory responsibility for professional staff and functional oversight of multiple student employment areas. The position directly oversees the building manager and Information Desk staffing and day-to-day operations of the Braves Shuttle service. The position reviews and interprets university policies to ensure compliance and operational adherence outlined in accordance with policy guidance. Overall, the position functions as an operational manager for major campus facilities and services and routinely exercises independent judgment on matters of operational significance affecting campus events, facility usage, staffing, compliance, and resource management.
Job Description
Event Services and Operations:
* Operate the facility reservation system and process facility reservations for the James B. Chavis Student Center, the University Center Annex, and other designated spaces on campus.
* Coordinate facility setup and delivery of services for student organizations, campus partners, and external parties.
* Ensure Building Manager staff communicate and interact directly with the point(s) of contact for each group.
* Regularly review, interpret, and administer facility usage policies to ensure practices comply with and are administered in accordance with policy guidance.
* Manage fee rates and billing for internal and external groups.
* Support camps and conference groups and ensure streamlined reservations processes and billing for external groups.
* Work with the Director to create and follow a repair and renovations plan for the Student Center, the Annex, and immediate adjacent spaces.
* Coordinate with the Administrative Support Specialist on processing and approval of event space requests in the facility reservation system.
* Develop, implement, and continuously refine policies, procedures, and service standards for facility reservations and event operations.
* Serve as the primary decision-maker for complex or high-impact event requests, including risk assessment, space utilization conflicts, and resource prioritization.
* Establish and enforce operational protocols to ensure consistency, efficiency, and high-quality customer service across all supported facilities.
Program Support:
* Provide leadership-level administrative, logistical, and programmatic support, including advising on feasibility, resource allocation, and operational planning for major events and initiatives.
* Assist with the planning, logistics, and implementation of major events and programs, including HawksNest programs, Chavis Student Center major events, and other programmatic support for Division of Student Affairs events.
Administrative Duties:
* Utilize the Banner system for the purpose of requisitions and budget reports.
* Submit and process contracts in a timely and efficient manner.
* Provide regular communication with facility users, facility operations staff, and guests to update and publish the availability of facilities, including openings and closings.
* Administer work orders and coordinate regular facility maintenance and repairs for all buildings, grounds, and technology support equipment.
* Review, analyze and report facility daily, weekly and monthly usage to ensure continuous efficient operation.
* Analyze facility usage data and trends to inform strategic planning, resource allocation, and operational improvements.
* Develop reports and recommendations for senior leadership regarding facility utilization, revenue generation, and service enhancements.
* Exercise independent authority in approving routine operational expenditures and making recommendations on budget priorities.
* Oversee procurement for specialized equipment for the HawsNest Game Room.
Supervision/Training:
* Directly supervise, hire, train, evaluate, and provide ongoing performance management for the Student Services Specialist position, including setting goals, conducting annual evaluations, and addressing performance concerns.
* Provide full supervisory oversight for multiple student employment functional areas (Building Managers, Information Desk, HawksNest, and other areas), including workforce planning, staffing models, and organizational structure.
* Develop and implement comprehensive training programs, standard operating procedures, and leadership development opportunities for student and professional staff.
* Establish performance standards and assess staff effectiveness through formal evaluation processes and continuous feedback.
* Exercise independent decision-making in personnel matters, including hiring recommendations, disciplinary actions, and termination of student employees.
* Lead regular staff meetings, trainings, and professional development initiatives to ensure alignment with departmental and divisional goals.
* Coordinate event setup and logistics with facilities staff and other campus partners.
* Provide leadership, direction, and accountability for staff to ensure high-quality service delivery and operational excellence.
Other Duties:
* Work with the Director of Student Engagement to manage the Student Center facility reservation and rental budget.
* Review and interpret university policies to ensure compliance and operational adherence outlined in accordance with policy guidance.
* Ensure electronic signage within the Student Center and beyond is updated, accurate and maintained.
* Oversee the RDU airport shuttle by managing the U-store to process registration fee payments and communicate with student riders to ensure appropriate departure and arrival logistics are in place.
* Other duties as assigned by the Director of Student Engagement.

Management Preference
Master's degree from an accredited university or college in student affairs, higher education, business, or related field preferred. Three to four years of experience working in student services, facility operations, programming, or related areas preferred.
