Salary/Grade: NEX/11

Target hiring range for this position will be between be range is as be $19.89-$24.86 per hour. Offered salary will be determined by the applicant's education, experience, knowledge, skills and abilities, as well as internal equity and alignment with market data.

Job Summary:

Coordinates administrative processes and prioritizes, directs, and responds to business matters involving administrative functions associated with education, research, and/or operations. Provides direct support to I.AIM faculty by managing calendars, submitting expenses, organizing travel, creating documents, and professional email communications.

Specific Responsibilities:

  • Managing faculty calendars
  • Submitting expenses, paying invoices and owning the institute corporate card
  • Coordinating I.AIM's memberships, listservs and machforms
  • Student support: space, expenses, IT, etc..
  • Event planning and execution
  • Building/office badges, tenant concerns, facility requests and office access
  • Meeting management: agenda, notes, calendar invites, and follow ups
  • Screens and prioritizes I.AIM communications for phone calls and the I.AIM inboxes

Miscellaneous

Performs other duties as assigned.

Minimum Qualifications:

  • High school or equivalent

  • Knowledge of Microsoft Office, word processing, spreadsheet, email, and database software programs

  • 4 years administrative support or other relevant experience required

Preferred Qualifications:

  • Knowledge Of Northwestern University Systems

  • Understanding Of Ai Tools Such As Copilot, Chatgpt, Claude, Etc
