UVA Health Development (UVAHD) seeks an Assistant Director for Donor Communications (part-time, 30 hours per week) to join our committed, collaborative, and results-driven Donor Relations & Strategic Engagement (DRSE) team. The Assistant Director for Donor Communications will manage the gift acknowledgment program for UVA Health's multi-faceted fundraising program, preparing customized correspondence for UVA Health leaders to thank donors for philanthropic gifts to support UVA School of Medicine, UVA School of Nursing, UVA Health University Medical Center, and UVA Community Health. The successful candidate will be a skilled written communicator who can adapt their writing style to different authors and audiences, and quickly draft brief, well-written, executive-level correspondence. The Assistant Director will also work collaboratively with colleagues on other donor-facing stewardship communications designed to enhance UVA Health's relationship with its donors. The incumbent will report to the Associate Director for Donor Communications. Responsibilities: Gift Acknowledgements - 90%
- Provide daily oversight of UVA Health's gift acknowledgment program, in consultation with the Associate Director for Donor Communications.
- Review weekly acknowledgment reports to identify an appropriate acknowledgment plan for each gift received.
- Research and draft customized acknowledgment correspondence for all major and principal gifts that benefit UVA Health on behalf of UVA Health leadership.
- Manage and track the multi-layered editing and approval process for each letter, ensuring that all letters delivered to leadership offices are in final form and error-free.
- Serve as point of contact with executive offices to ensure that correspondence is sent promptly.
- Promptly record all leadership correspondence in UVA's database of record (ACRM) and digital filing system.
- Perform regular audits to ensure that all gifts have been properly acknowledged.
- Review/edit draft acknowledgments from University President to UVA Health donors, in partnership with UVAHD development staff.
- Manage the workflow for acknowledging lower-level gifts.
- Manage an annual refresh of printed acknowledgment collateral, in collaboration with the UVAHD Communications team.
- Continually document and refine UVAHD's acknowledgment program, in partnership with the Associate Director of Donor Communications, including periodically evaluating current gift acknowledgment protocols and processes; making recommendations for greater impact and effectiveness; and implementing refinements.
Leadership Correspondence - 5%
- Draft meaningful and succinct executive-level stewardship correspondence to high-level donors/prospects on behalf of various UVA Health executive leaders to help advance individual donor relationships
Stewardship Communications Projects - 5%
- Partner with the Associate Director of Donor Communications, DRSE colleagues, and frontline teams on strategic communications throughout the year that advance specific donor relationships and support broader stewardship strategies.
Minimum Qualifications:
- Bachelor's degree
- At least one year of relevant experience
Preferred Qualifications:
- Bachelor's degree in English, Communications, or a related field.
- Two or more years of relevant experience, preferably in donor communications, development communications or a related field.
- Superior writing, editing, and proofreading skills, with the ability to tailor writing style to specific audiences and signatory's tone while adhering to established University style guidelines.
- Direct experience with development writing, particularly in an academic health setting.
- Ability to translate complex scientific concepts into compelling content that is understandable and accessible to lay audiences.
- Proven project management and organization skills with the ability to manage multiple workstreams simultaneously while adhering to deadlines.
- High level of initiative and ownership; ability to work independently with minimal supervision.
- Ability to prioritize work and pivot quickly in response to shifting priorities.
- High ethical standards and attention to confidentiality when dealing with donor information.
- Excellent interpersonal skills with a strong orientation towards collaboration and teamwork.
- Ability to work effectively as a part of a high-performing team in a complex environment.
- Thorough knowledge of Microsoft Suite and comfort in learning and navigating a CRM database.
- Possess a command of cultural sensitivity and value; embraces cultural, political, and social differences. The incumbent will contribute to an environment that encourages diversity, equity, and inclusion.
Position Type & Work Location:
- This is a nonexempt, benefited position.
- UVA Advancement offers a flexible, hybrid workplace. All team members must have access to and maintain a secure home office environment with high-speed internet service and work collaboratively with others using a variety of technologies and tools. This position will be required to work intermittently in our office building, located in Charlottesville, Virginia. Although this position is eligible to work hybrid, the incumbent should live within a reasonable driving distance of Charlottesville to facilitate frequent visits to UVA Grounds.
