DESCRIPTION

Under the direction and general supervision of the Neurosciences Program Director and Neurosciences Director, the Clinical Coordinator provides administrative support to faculty in Neurosciences in their clinical, and service line activities. Responsible for managing all patient-related affairs and acting as a patient liaison by fielding questions, scheduling appointments and arranging for clinic/procedure visits.

Schedule and register patients for appointments using EPIC systems, which entails interacting closely and communicating clearly with other clinic staff support, a variety of private and government agencies such as health insurance companies, community medical groups, Medicare, Medi-Cal, CMS, etc. Apply knowledge of various insurance projects (HMO,PPO, POS) in order to obtain authorizations for appointments and procedures. Facilitate and work with clinic leadership for all aspects of botulinum toxin clinic, including Scheduling, eligibility and authorization, drug inventory control and coordination with revenue manager to optimize reimbursements.

Utilize excellent communication skills when communicating with patient, staff, and faculty. Perform a variety of administrative duties in support of patient services, including transcription of faculty correspondence, preparation/completion of clinical documents, memos and e-mails upon request. Assist in developing policies and procedures with colleagues for the purpose of long-term planning for clinical needs. Organize and plan workload to prioritize and meet multiple deadlines. Other related duties as assigned.

MINIMUM QUALIFICATIONS
  • Three (3) years of related administrative experience. Previous experience working in a healthcare/clinical setting.

  • Experience working with Health Insurance Companies and Community Medical Groups.

  • Experience with scheduling, registration, and authorization.

  • Experience managing complex calendars, coordinating appointments.

  • Proficient in Microsoft Office suite, Epic EMR, and familiar with healthcare landscape.

  • Demonstrate superb interpersonal skills to successfully interact with variety of people from diverse cultures and backgrounds.

  • Ability to maintain strict confidentiality (in interactions with both internal and external people) concerning work-related information.

PREFERRED QUALIFICATIONS
  • Neuroscience related experience.

  • Medical Assistant experience.

  • Knowledge of medical/scientific terminology; neurosciences specialty.

  • Bilingual (English/Spanish).

SPECIAL CONDITIONS
  • Must be able to work various hours and locations based on business needs.

Pay Transparency Act

Annual Full Pay Range: $61,429 - $88,030 (will be prorated if the appointment percentage is less than 100%)

Hourly Equivalent: $29.42 - $42.16

Factors in determining the appropriate compensation for a role include experience, skills, knowledge, abilities, education, licensure and certifications, and other business and organizational needs. The Hiring Pay Scale referenced in the job posting is the budgeted salary or hourly range that the University reasonably expects to pay for this position. The Annual Full Pay Range may be broader than what the University anticipates to pay for this position, based on internal equity, budget, and collective bargaining agreements (when applicable).
