Title:Senior Administrative Assistant Division: Student Affairs Department: Recreation, Fitness & Wellness FLSA Status:Non-Exempt Salary Range:Grade 5: $13.63/hour EEO Job Group:5 E6 Position Summary Provide responsible administrative and operational support for Recreation, Fitness and Wellness Department, including the department Director, Associate Director, and Assistant Directors, utilizing skills requiring independence in judgment and organization.
In addition, this position supports marketing initiatives by assisting with social media content creation and campaign coordination, including drafting posts, maintaining content calendars, and supporting brand messaging across digital platforms. Duties/Responsibilities
- Organize and set work priorities for meeting deadlines and completing projects.
- Monitor department communications (department email, etc.)
- Organize and manage Eagle Perks program.
- Create graphic designs used for various projects for the department. Coordinate department publications.
- Coordinate website updates and social media.
- Design flyers, presentations, and promotional material for departmental programs and events.
- Organize and implement marketing strategies for department promotion.
- Coordinate departmental event and program promotion (campus calendar, university newsletters, TV slide show, etc.)
- Order and maintain office supplies and promotional items inventory.
- Assist with facility operations and building coverage when needed.
- Assist with departmental programs. Coordinate catering contracts and rental agreements.
- Prepare direct payments, purchase orders, travel authorizations, and other items.
- Communicate with outside vendors and coordinate large orders.
- Compile information and prepare final copy for various statistical reports, surveys, and questionnaires.
- Implement and develop office procedures and standards with approval of supervisor.
- Receive and greet visitors and provide general information regarding office and University policies and procedures.
- Distribute incoming mail.
- Other duties as assigned.
Required Knowledge and Skills
- High School diploma or GED required.
- Two years of office experience or comparable work experience required. A combination of education and experience may be used in lieu of experience.
- Knowledge of social media and marketing strategies required.
- Strong graphic design and photo/video editing.
- Knowledge of microcomputers, word processing, spreadsheet, and electronic mail software required.
- Strong interpersonal, organizational, and time management skills required.
- Strong oral and written communication skills required.
- Strong attention to detail and ability to multi-task required.
Preferred Knowledge and Skills
- Knowledge of database and desktop publishing software preferred.
Functional Requirements
- Remaining in a stationary position at a desk or workstation for extended periods of time for many assigned duties.
- Physical access to the Recreation, Fitness, and Wellness Center, as required to provide administrative support for the Director, Associate Director, Assistant Directors, and Program Coordinators.
- Occasional independent physical manipulation of loads of up to 20 pounds (dependent upon current staff availability, this may be a preference rather than requirement of the position).
- Proficient use of computers and computer systems (software and hardware) to set up functions, enter data, obtain information, process information, and create documents.
- Effective communication skills and positive interaction and cooperation with students, parents, faculty, staff, and external contacts.
- The presentation of a consistently professional demeanor always, even in difficult, negative, or frustrating situations.
Regular Work Hours/Travel Requirements
- This position is full-time, 37.5 hours per week, with 7.5 hour shifts Monday-Friday.
- Start time is flexible and employee may start between 6 a.m. and 9 a.m. Once the starting shift time is selected; it will not vary from week to week. Start time flexibility may be limited during certain times of the year.
- Occasional weekends, evenings, and overtime may be required.
