JOB PURPOSE:

The CBP Workforce Wellness Program is seeking an experienced and highly organized Mobile Resilience & Program Operations Coordinator. This multifaceted role is responsible for the overall operation, care, and maintenance of the Endeavors Mobile Support Vehicle, ensuring the safe transportation of staff and seamless facilitation of specialized, on-board wellness equipment. Beyond fleet logistics, the coordinator plays a vital role in program delivery by collaborating with intake specialists to support client onboarding, ensuring strict compliance with regulatory and confidentiality standards. While extended periods of travel and mobile deployments are core to this role, the coordinator also provides essential logistics, facility, and backup administrative support to ensure the efficient operation of the wellness program. The ideal candidate possesses exceptional driving skills with a clean driving record, a strong commitment to safety, and the flexibility to seamlessly shift from hands-on vehicle operations to client-facing and administrative support. The role also ensures compliance with all applicable federal, state, and local regulations while maintaining a clean, sanitized, and well-maintained vehicle environment.

Qualifications
ESSENTIAL JOB RESPONSIBILITIES:

  • Coordinate Mobile Readiness Unit operations, schedules, travel calendars, and transportation logistics with community partners and stakeholders.
  • Develop, maintain, and implement operating standards and procedures for the Mobile Support Vehicle.
  • Provide safe, secure, and supervised transportation for staff and program equipment to designated locations, including CBP offices, ports-of-entry, Border Patrol stations, and other assigned destinations.
  • Maintain professionalism and composure in stressful driving situations and comply with all transportation safety requirements, including passenger van safety training.
  • Conduct and document daily safety inspections, ensuring all vehicle safety checklists are completed prior to operation.
  • Coordinate and monitor daily, monthly, and annual vehicle maintenance requirements, ensuring the vehicle is kept clean, sanitized, and well-maintained, and promptly report mechanical concerns to leadership.
  • Research, identify, and obtain quotes from vendors for maintenance, repairs, and fleet-related services.
  • Maintain accurate transportation records, including travel logs, mileage reports, vehicle inspections, maintenance documentation, and shift hours.
  • Operate, troubleshoot, and maintain Mobile Readiness Unit specialized wellness equipment, including the wellness chair, hypnogogic light therapy device, and other wellness tools.
  • Support wellness room operations, outreach events, facility tours, and special projects, including assisting with the loading, unloading, and set-up of equipment, office supplies, and program materials.
  • Utilize communication equipment, including radios, cell phones, and other assigned devices, to support real-time operations and transportation needs.
  • Conduct client intakes and collaborates closely with Intake Coordinator to support the onboarding processes and improve operational efficiency.
  • Maintain electronic and paper filing systems, including SharePoint, Concur, and other agency databases, ensuring strict compliance with confidentiality requirements and regulations.
  • Prepare, update, and distribute reports, correspondence, incident documentation, and operational records in accordance with agency policies.
  • Coordinate travel arrangements, expense reporting, reimbursement documentation, and program logistics.
  • Provide consistent communication with supervisors regarding transportation needs, operational concerns, vehicle issues, and sudden changes in travel plans.
  • Participate in scheduled meetings, training activities, operational planning, and team decision-making processes.
  • Provide backup administrative and front desk support as needed, including answering phones, welcoming visitors, or assisting with daily office functions during peak time or staff absences.
  • Manage office equipment maintenance and assist with shipping, receiving, and distribution of materials and supplies.
  • Ensure compliance with all agency policies, confidentiality requirements, and applicable federal, state, and local regulations.
  • Assist with overall facility operations and perform other program support functions as assigned to ensure a seamless workflow.

ESSENTIAL QUALIFICATIONS:

EDUCATION: High School Diploma or GED required. Associate or Bachelor's Degree in business administration or relative field preferred.

EXPERIENCE: 3 to 5 years of experience in facilitating transportation within programs. Experience with commercial transportation or fleets is preferred.

ATTENDANCE: Must maintain regular and acceptable attendance at such level as is determined in the employer's sole discretion.

LICENSES: Driver's License with clear driving record and must be able to pass a government background check investigation.

VEHICLE: Must have daily use of a vehicle without prior notice.

OTHER: Must be available and willing to travel to various locations with such frequency as the business need dictates. Must not pose a direct threat or significant risk of substantial harm to the safety or health of himself/herself or others. Eligible to receive, pass, and maintain security investigation background check. Must be a U.S. citizen or a Lawful Permanent Resident. Pass a criminal history screen, including state and local child protection agency registries; Obtain a clearance for a government issued Personal Identity Verification (PIV) card; Ability to work independently and exercise a high level of confidentiality;
