Essential Job Duties
The primary purpose of this position is to provide administrative and program support for certification operations by managing application processing, maintaining accurate program records, assisting applicants throughout the certification process, and supporting data collection and reporting activities. This role ensures certification requirements are met, provides responsive customer service to applicants and stakeholders, and contributes to the overall effectiveness and continuous improvement of program initiatives.

Responsibilities:

  • Manage the processing of certification applications by reviewing submissions, verifying eligibility requirements, and ensuring applicants have completed all required training, documentation, and certification criteria.
  • Provide customer service and technical assistance to certification applicants by responding to inquiries, troubleshooting issues, and guiding individuals through the application, renewal, and certification processes.
  • Maintain and update program databases, including Excel and Access systems, ensuring data accuracy, confidentiality, integrity, and accessibility for reporting and operational needs.
  • Track certification activities, prepare reports, and maintain records to support program evaluation, compliance, and decision-making.
  • Distribute and monitor monthly surveys to training graduates and individuals receiving new certifications, recertifications, or lapsed certifications to gather feedback and support program quality improvement efforts.
  • Provide administrative support for program initiatives, special projects, meetings, and other operational activities as assigned.
  • Collaborate with internal teams, training providers, and external stakeholders to ensure timely communication and effective program coordination.

Work Schedule 30-40 hours; Monday - Friday from 8 am - 5 pm (hybrid)

Minimum Experience/Education

  • High school diploma or equivalency and one year of experience in accounting work; or equivalent combination of training and experience.


Department Required Skills

  • Experience working with individuals with lived experience related to Significant Mental Illness (SMI) and substance use disorders.
  • Experience providing administrative, clerical, or program support services.
  • Intermediate proficiency with Microsoft Office applications, including Excel and Access.
  • Strong organizational skills with the ability to manage records, prioritize tasks, and maintain attention to detail.
  • Effective written and verbal communication skills with a focus on customer service and stakeholder support.

Preferred Years Experience, Skills, Training, Education

  • Two or more years of experience providing administrative, program, or customer support services.
  • Experience supporting certification, credentialing, training, workforce development, or compliance-related programs.
  • Experience maintaining databases, tracking program metrics, and preparing reports using Microsoft Excel, Access, or similar data management systems.
  • Experience working with individuals, community organizations, or service providers supporting mental health and/or substance use disorder programs.
  • Knowledge of certification processes, application review procedures, documentation requirements, and quality assurance practices.
  • Proficiency with Microsoft Office Suite, including advanced Excel functions such as data tracking, filtering, and reporting.
