Kilpatrick, a large international law firm, is seeking a Marketing and Business Development Coordinator to be seated in our San Francisco or Menlo Park office. This position will work alongside our team of attorneys, paralegals and support staff providing a high level of service to both internal and external clients. About the Role Based in San Francisco or Menlo Park, the Marketing and Business Development Coordinator supports the firm's marketing and business development efforts on a firmwide basis-with a primary focus on the West Coast offices and the Intellectual Property (IP) Department, and support for other regions and practices as needed-by driving visibility, strengthening client engagement, and ensuring the effective execution of marketing and business development initiatives. Reporting to the Associate Director of Business Development for IP and the Senior Business Development Manager for the Trademark, Copyright, and Advertising Group, this role facilitates marketing activities in support of strategic priorities across the firm. ESSENTIAL FUNCTIONS: Marketing Support Coordinate office and region-specific initiatives-primarily for the West Coast offices, with support for other regions as needed-maintain strong internal communication, and ensure alignment across teams on market-facing activities. Key responsibilities include:
- Coordinate a wide range of events and initiatives, including seminars, webinars, client presentations, client dinners and receptions, business meetings, community engagement programs, speaking engagements, and sponsorships.
- Coordinate all aspects of event execution, including logistics planning, setup coordination, vendor management, and on-site point-of-contact duties. Troubleshoot issues as they arise to ensure smooth operations. Some travel may be required.
- Manage the creation and distribution of invitations and sponsorship ads.
- Maintain relevant email distribution lists in the CRM system, with primary responsibility for West Coast and IP lists, and ensure all events are accurately reflected in the master marketing calendar.
Practice & Department Support Coordinate pitch and proposal creation, market and competitive research, collateral updates, and knowledge management-primarily for the IP Department, and for other practices as needed-to promote firm capabilities and expand the client base. Key responsibilities include:
- Coordinate the development of pitches, proposals, and customized presentations, including using the proposal generation system to retrieve information, managing attorney input, and ensuring proper formatting.
- Perform target client and practice area research and analysis to support business development activities.
- Identify and capture practice-specific experience and knowledge, with a focus on IP, including proposals (documents and outcomes), cases, and skills.
- Maintain practice-specific experience and knowledge, with a focus on IP, including pitch materials, RFP responses, proposals, cases, and skills.
- Assist with legal directory submissions (i.e. Chambers and Legal 500), including coordinating with partners on experience and submission details
- Manage external marketing mailings, including event invites and time-sensitive mailings such as legal alerts and other thought leadership
- Ensure all materials are accurate, polished, and aligned with firm standards, demonstrating attention to detail and a commitment to high-quality client service.
Other Marketing & BD Execution
- Coordinate multiple resources and inputs from various firm resources, such as other Marketing Coordinators, Business Development Managers, Communications, Research and Information Services, Resource Center, and as needed outside agencies, to complete an activity.
- Provide thorough and timely reporting to aligned Manager to ensure execution of assigned activities and support the determination of effectiveness and ROI.
- Participate in regular Marketing Team discussions to facilitate cross-department knowledge sharing and identification of best practices and lessons learned
- Perform other selected projects as needed to assist the Marketing department as a team in delivering superior service.
KNOWLEDGE/SKILLS REQUIRED:
- Undergraduate degree in Business, Marketing, Communications or related field required.
- At least 2 years minimum experience with professional services and/or business-to-business marketing experience - either with "Big 4" accounting background, other law firms, consulting firms, etc. preferred; agency experience also relevant.
- Willingness to provide onsite support for firm-hosted significant events and seminars, including those that may require travel.
- Familiarity with intellectual property law preferred.
- Collateral and proposal management experience preferred.
- Excellent writing, communication and follow-up skills are essential.
- Strong computer skills including advanced knowledge of MS Office, CRM systems, document management systems, PowerPoint and ability to organize and manage data in Excel, etc.
- Demonstrated ability to work in team environment, pulling together the resources of the Firm across service lines to support business development efforts (cross-selling, up-selling).
- Must be a good planner who is very detail-oriented and has the ability to organize and prioritize and meet deadlines with flexibility for shifting demands.
- Strong communication skills required both orally and in writing.
- Ability to work independently.
- Willing to be action and results-oriented.
- Willing to gain in-depth working knowledge of legal through continuous learning (i.e., reading, seminars, attorney interviews, etc.) to enhance ability to proactively add value to marketing efforts.
This is a full-time, regular position with a multi-faceted health benefit package including medical, dental, and vision. The firm offers hybrid work schedules combining in office work days as well as remote work days. The pay range for this position in California only is $38.46 to $46.15 per hour.
