Job Summary

Scottsdale Community College (SCC) is seeking a full-time Student Services Specialist. The position provides a full range of support services for Admissions, Records, and Registration, including reviewing and responding to requests via in-person, online, by phone, and other media sources. Services provided include admissions processing, tuition classifications, registration, and other related records processing. The student services specialists are also responsible for other duties that may include processing and evaluating transcripts, monitoring reports, and creating and updating department documents as needed.

To best serve the students, department, and college, this position requires a physical presence on campus, with the possibility of partial remote work depending on business needs.

Essential Functions

35% - Provides high-quality front-line customer service and support in various Admissions & Records functions by reviewing and responding to student requests in person, by phone, and via email. Guides students through sequential enrollment steps, evaluates documentation to verify course prerequisites, conducts official identity authentication, and determines appropriate tuition classification. Facilitates registration functions, including enrolling and dropping students, and manages both manual and self-service applications for credit and non-credit programs.

35% - Manages and monitors departmental communication workflows by responding to high-volume incoming and outgoing Admissions & Records phone calls and email queues. Reviews, authenticates, and processes electronic A&R forms to maintain accurate student records. Generates and issues official institutional correspondence.

20% - Evaluates official college transcripts from Arizona institutions to determine course equivalencies and inputs external education data into the student system. Identifies, investigates, and resolves student duplicate accounts to maintain data integrity. Manages the intake of external transcripts and provides general credentials support.

10% - Leads special administrative projects and document archiving initiatives, including the coordination of graduation data entry and the secure preparation and mailing of diplomas. Oversees scanning projects and digital imaging to ensure institutional records comply with retention policies, and performs other duties as assigned by Admissions & Records leadership.

SUPERVISION EXERCISED:
This classification may be assigned to lead other regular staff.

SUPERVISION RECEIVED:
Receives general supervision on routine items which are performed according to established standards and procedures and receives specific work instruction regarding non-routine matters and deadlines

Minimum Qualifications

Associate's Degree from a regionally accredited institution, and one (1) year full-time of student services or college teaching experience or experience assisting with educational program development and coordination, student advisement, financial aid, customer service, or related student development programs.

OR

An equivalent combination of the conferred degree and directly related full-time work experience as described above sufficient to successfully perform the essential duties of the job such as those listed above, unless otherwise subject to any other requirements set forth in law or regulation, may be considered.

Desired Qualifications

A. Experience working with a variety of student services tools, including but not limited to: online student information systems, student tracking systems, website chat, and Dynamic Forms

B. Experience with interpreting federal, state, and local laws as they pertain to enrollment services in a college or university setting

C. Experience working in college/university Admissions, Records and Registration/Enrollment Services office

D. Experience interpreting and explaining college and/or district policies and procedures related to enrollment services

E. Experience in a high-volume, direct customer service setting

F. One year of full-time, relevant MCCCD experience within the previous two years.

Special Working Conditions
  • All travel-related expenses to campus during the interview and selection process will be the candidate's responsibility.
  • May be required to travel to other MCCCD locations.
  • May be required to work evenings and weekends.
  • May require prolonged periods of sitting and viewing a computer screen.
  • May be required to lift or carry up to 25 lbs.
  • This position requires a physical presence on campus with possible partial remote work depending on business needs to best serve the students, department, and college.
