Temple University's Lewis Katz School of Medicine is searching for a Sr. Administrative Coordinator!

Salary Range: $60,000 - $65,000

Position Summary:
Assisting the UME deans with day-to-day operations of the unit; maintaining UME deans' calendars, electronically; coordinating meetings and events for the UME deans; responding to phone calls and inquiries; and daily UME unit operational needs; typing and composing correspondence while respecting the confidential nature of such materials; and functioning as a liaison with the University and/or SoM offices and internal and external stakeholders. In addition, will prepare necessary reports and/or administrative documents and track processes; assist UME deans in the preparation of a variety of reports for submission to the Dean's office and other academic entities. Incumbent will also be familiar with Purchasing (TU Marketplace) and invoice processing and reconciliation.

Provides comprehensive course management services for Phase 2 and 3 courses including clerkships, advanced clerkships and electives. This position is responsible to maintain online student sites (Canvas and One45) used for administration of the Phase 2 and 3 courses. Regularly communicates with students and course directors and collaborates with directors to ensure that the course is administered in alignment with LKSOM policies and with accreditation standards. Responsible for record keeping, data management and reporting related to the courses. Performs other duties as required in support of the undergraduate medical education program.

Required Education and Experience:
* Bachelor's Degree and at least 4 years of directly related experience. An equivalent combination of education and experience may be considered.

Essential Duties:
* Maintain online student sites (Canvas and One45) used for administration of the Phase 2 and 3 courses
* Communicate with students and course directors and collaborate with directors to ensure that the course is administered in alignment with LKSOM policies and with accreditation standards
* Provide general administrative support for activities administered by the Office of Medical Education
* Recordkeeping, data management and reporting related to the courses
* Create courses in Canvas, add content, faculty and students as appropriate
* Communicate regularly with students regarding all clerkship-related issues, including about assignments, required clinical encounter/procedure logs, dates/times of clinical subject exams, and completion of evaluations of the courses and of instructors (residents/fellows, faculty);
* Upload evaluations of students and grades to One 45 and Banner
* Submit grades and grade changes in Banner
* Monitor timeliness of grade submissions, reporting status of submission in alignment with established processes/requirements
* Coordinate schedules for student orientation
* Monitor completion of student and faculty evaluations at TUHS and affiliate sites
* Report status to director to ensure alignment with established process/requirements for grade submission
* Distribute and monitor completion of student assignments including patient encounter logs; monitors completion of Mid-rotation Feedback Forms
* Order and proctor clinical subject exams and Phase 1 exams as needed
* Track data related to the Phase 2 and 3 curriculum including clinical subject exam results and completion of remediation activities
* Provide new faculty and resident lists for annual updates in One45 to the Director, Information Technology, LKSOM
* Acts as point of contact for visiting medical students rotating at Temple University Hospital
* Provide general administrative support for activities administered by the Office of Medical Education
Special Projects
* Lead and/or participate in a variety of special projects as needed
* Assist with Educational Affairs events planning
* Play an active role in organization-wide initiatives across all units of Educational Affairs
Other Responsibilities
* Provide high-level support to the UME Unit. Under the direction of the Senior Director, performs a variety of ongoing and special projects, programs and system to manage daily unit activities
* Works with UME leadership to produce and distribute Academic Calendars
* Troubleshoots and contacts faculty regarding teaching hours as needed
* Gathers, prepares and distributes departmental bi-weekly newsletter
* Serves as Program Service Administrator of Aquifer clinical learning resource
* Provides back-up for Phase 2/3 Senior Coordinator
* Provide back up support for activities in the Undergraduate Medical Education Office
* Participate in other ad hoc projects for the Office of Undergraduate Medical Education
* Performs other duties as assigned.

This position is assigned a hybrid work arrangement (on-campus and remote), the duration of this hybrid work arrangement is at the discretion of Temple University and the Department.
