We have an opportunity at our corporate offices in Chicago for a Manager Facilities Management (Hybrid) on our Corporate Services team. This is a hybrid position reporting into our Chicago, IL office, requiring 4 days a week in the office.

This role will provide managerial direction and leadership to
other managers and staff to ensure an efficient, effective, and safe working
environment, responding to ever-changing organizational facility requirements.
Manage facility service operations, including managing staff, vendors, and
serving as a liaison to building management. Responsible for move coordination,
providing project management and programming/planning services to AMA for facility projects of all sizes/scopes.

RESPONSIBILITIES:

Facilities Planning and Programming Services
*Meet with end users to determine current needs, evaluate available resources, make recommendations to several layers of management and develop actions to achieve agreed upon goals
*Manage the selection, specification and purchase of furniture including managing asset inventory control and governance
*Update CAD drawings of facility projects as needed to reflect new construction or furniture reconfigurations to keep drawings current
*Manage AMA space standards and ergonomic program; maintain survey of new ergonomic products available on the market; provide recommendations and assist in implementation after each ergonomic evaluation
*Conduct surveys of space at the headquarters building to produce quarterly space utilization reports
*Coordinate onboarding, offboarding and move process, and manage and maintain space utilization, capacity and department hierarchy data, trends, and insights

Facility Service Operations
*Manage Facilities Staff including work ticket coverage, reconfigurations, relocations, warehouse, asset database, and any other day-to-day tasks
*Manage vendors/contractors and approve cleaning/maintenance/repair services; maintain accurate inventory of materials used and any areas that have issues
*Liaise with Building Management to coordinate landlord services for Facility Operation activities
*Oversee Facilities Planning & Operations budget, SOPs, and manage Building Services work ticket/support program

Lead Facility Projects
*Provide managerial direction and leadership to other managers and staff to help ensure effective and efficient use of available human and financial resources to ensure a clean office environment
*Manage selected facility projects at AMA including establishing schedules and budgets; manage furniture reconfigurations of new or existing product and coordinate construction work with outside trades and in-house services

Staff Management
*Lead, mentor and provide management oversight for staff
*Responsible for setting objectives, evaluating employee performance, and fostering a collaborative team environment
*Responsible for developing staff knowledge nad skills to support career development

May include other responsibilities as assigned

REQUIREMENTS:

  1. Bachelor's degree in relevant field (e.g., architecture, construction) required. IIDA or IFMA membership is preferred.

  2. Minimum 5+ years of experience in facility management, commercial interiors, or space planning required.

  3. Minimum 3+ years of experience in managing projects. PMP certification strongly preferred.

  4. Experience in people management highly preferred.

  5. Prior experience in human-environmental relations and in analyzing organization structure and programming for space needs.

  6. Strong computer skills managing facility database and asset database applications; (CMMS, Excel, MS Project and MS Access) expert experience in AutoCad required.

  7. Strong problem-solving skills.

  8. Highly motivated self-starter and high tolerance for working in a stressful environment.

  9. Polished communication skills, both written and verbal.

  10. Highly proficient interpersonal skills and negotiating skills required.

  11. Demonstrated ability to function effectively as part of a service team and to work under minimal direction.

This role is an exempt position, and the salary range for this position is $87,394-$115,797. This is the lowest to highest salary we believe we would pay for this role at the time of this posting. An employee's pay within the salary range will be determined by a variety of factors including but not limited to business consideration and geographical location, as well as candidate qualifications, such as skills, education, and experience.
