Hours: 8am to 5pm Mon-Fri (Must be flexible)

Location: In-office North Richland Hills, TX

We are seeking a highly organized and detail-oriented Seasonal Administrative Assistant to support our staffing operations during a busy seasonal period. This role is responsible for ensuring candidates successfully complete onboarding requirements, maintaining compliance records, processing associate information in Fieldglass, and providing exceptional support throughout the onboarding process.

The ideal candidate thrives in a fast-paced environment, remains attentive to multiple systems throughout the day, and can quickly process information to help ensure job orders are filled efficiently and competitively.

**This is a 4-month seasonal contract position with the potential for growth opportunities and consideration for permanent employment based on performance and business needs.**


Key Responsibilities

  • Monitor candidate onboarding progress to ensure all interviewed associates complete required onboarding tasks.
  • Maintain accurate onboarding compliance records and update internal tracking systems in a timely manner.
  • Process new associate information and upload approved candidates into Fieldglass as job orders are received.
  • Communicate directly with associates via email to confirm placement details and ensure they understand arrival procedures, expectations, and preparedness requirements.
  • Serve as a primary point of contact for associates, responding to questions and providing onboarding support.
  • Continuously monitor internal systems and workflows to ensure associates are processed quickly and accurately.
  • Partner with branch teams to support staffing objectives and prevent delays that could impact order fulfillment.
  • Ensure all data entry, compliance documentation, and system updates are completed with a high level of accuracy.


Qualifications

  • Strong attention to detail and organizational skills.
  • Ability to manage multiple priorities in a high-volume, fast-paced environment.
  • Excellent verbal and written communication skills.
  • Comfortable working with multiple systems and databases simultaneously.
  • Strong sense of urgency and ability to follow established processes.
  • Customer service experience and professional phone etiquette preferred.
  • Previous experience with onboarding, staffing, recruiting support, administrative coordination, or workforce management systems is a plus.
  • Experience with Fieldglass or similar vendor management systems is preferred but not required.
