Opportunity

Join Embry-Riddle Aeronautical University as a Contract Administrator and play a key role in supporting the University's procurement and contracting operations. Reporting to the Director of Procurement Services, you will oversee the University's contract management lifecycle, ensuring agreements are compliant, strategically managed, and aligned with institutional policies and regulatory requirements. Key Responsibilities

  • Manage the University's electronic contract management system, ensuring contracts are maintained, monitored, and renewed in a timely manner.

  • Review, analyze, and process contract packages for completeness, compliance, and alignment with University policies and procurement requirements.

  • Coordinate the contract workflow between Procurement, Legal, and internal departments from solicitation through execution and purchase order creation.

  • Identify contractual risks and recommend appropriate modifications or mitigation strategies.

  • Serve as a trusted resource to University stakeholders by providing guidance on contract processes, policies, and best practices.

  • Develop and maintain contract-related documentation, reporting tools, and training resources, including the contract management website.

  • Act as the primary liaison with suppliers regarding contract administration, amendments, approvals, and service level agreement (SLA) compliance.

  • Support competitive solicitations, strategic sourcing initiatives, consortium agreements, and state and federal contract administration.

  • Partner with the Office of General Counsel to facilitate legal review and ensure contract packages are complete and submitted in accordance with University policy.

  • Identify opportunities for continuous process improvement and provide contract activity updates and recommendations to Procurement leadership.

Qualifications

Required Qualifications

  • Bachelor's degree in Business Administration, Supply Chain Management, Finance, Accounting, or a related field; or an equivalent combination of education and relevant experience.

  • One to three years of experience in procurement, contract administration, accounting, finance, or a related business function.

  • Knowledge of procurement principles, contract management, and supply chain processes.

  • Strong analytical, negotiation, and problem-solving skills with the ability to evaluate contractual risk and recommend appropriate solutions.

  • Excellent written and verbal communication skills with the ability to build collaborative relationships across the University.

  • Demonstrated organizational skills with the ability to manage multiple projects, prioritize competing deadlines, and work independently.

  • Proficiency with Microsoft Office Suite, particularly Excel, Word, Outlook, and PowerPoint.

  • Experience working with contract management or procurement software systems.

  • Ability to maintain confidentiality and exercise sound judgment when handling sensitive information.

  • Strong customer service orientation and a commitment to continuous process improvement.

Preferred Qualifications

  • Experience administering contracts in a higher education, government, or public procurement environment.

  • Experience with Workday Strategic Sourcing or other enterprise procurement and contract management platforms.

  • Familiarity with state and federal procurement regulations and competitive solicitation processes.
