About the Job
The Director of Business Operations & Finance is a key leadership position responsible for leading, directing, providing vision, strategy, and execution of all aspects related to daily operations including technology requirements, financials, and general operations. This role directly supports NODA's mission and strategic priorities by strengthening the association office operations that focuses on sustainability and efficiency. The individual in this position must be able to make complex decisions with authority and understand the risk, liability and implications that could impact NODA, the University, and constituents/stakeholders. This position will supervise the Administrative Support Specialist and the Education Support Specialist contract position.
This position will require occasional travel on overnight trips to attend events and flexibility to conduct work in the evenings and weekends as needed. This position will be 100% remote with the expectation to meet in-person with Association staff and attend NODA events as required. The Director of Business Operations & Finance will report directly to the Executive Director.
Please note, this position is not eligible for H-1B or Green Card sponsorship. This position does not offer a STEM OPT training program.
Essential Duties & Responsibilities
Business Operations (35%)
- Oversee processes related to event registration and member-related transactions within the AMS to ensure a seamless and consistent user experience
- Ensure that external-facing systems-such as registration platforms, portals, and communications-are user-friendly, accessible, and aligned with organizational goals and member service standards
- Maintain up-to-date and accurate records for membership, event participation, and overall engagement metrics to support informed decision-making and strategic planning
- Assess status of projects including but not limited to accuracy, timeliness, quality, budgets and purpose and make/guide adjustments as necessary including managing the production schedule
- Ensure that NODA staff maintain the highest quality of customer service on a continuous basis through the collection of evaluation tools and member needs assessment
- Develop policies and procedures to safeguard NODA from financial hardship, including risk management and emergency plans
- Support the development, modification, and documentation of practices, procedures, and internal workflows to improve consistency, clarity, and cross-team collaboration
- Lead the staff to achieve operational excellence as they implement strategic priorities
- Treat all personnel matters in confidence, with professionalism, sensitivity, and in a timely manner
- Make decisions independent of the Executive Director in alignment with NODA strategic priorities, mission, and goals
- Other duties as assigned
Financial Management (25%)
- Establish pricing and rates, deadlines and registration content for all events and programs
- Work with the Executive Director in the development of a non-dues revenue plan and manage the implementation of a diversified funding stream
- Assess, analyze and forecast financial trends and make adjustments as necessary
- Ensure financial decisions are within the policies and procedures set forth by the Finance Committee and NODA Board of Directors
- Track budgeted expenses and approve payments for venues and vendors
- Review monthly financials to ensure any discrepancies are immediately addressed
- Identify and implement efficiency and cost savings
- Staff lead for the Fundraising Committee
- Attend monthly Finance Committee meetings
- Comply with all University and NODA fiscal policies/procedures
Project Volunteer Management (20%)
- Manage the NODA External Review program for higher education institutions looking to evaluate, enhance or reimagine their current orientation, transition, or retention programs
- Oversee, direct, and manage the educational content (learning outcomes, incorporation of Core Competencies and selection of educational programs) for the Retention Symposium and/or retention related efforts
- Coordinate NODA Core Competency course development; course updates/revisions/redesigns; select and orient content facilitators (instructors)
- Serve as the staff partner for the Educational Initiatives Committee and related workgroups
Technology & Data Oversight (20%)
- Prepare and analyze complex data to develop standard and custom reports, advising management on key insights and data interpretation
- Manage the IT infrastructure monitoring the operational effectiveness and functionality of NODA's Association Management System (AMS), ensuring accuracy, quality, and strategic use of member data
- Guide decisions regarding AMS maintenance, upgrades, integrations, and future enhancements to support membership goals and overall operational efficiency
- Develop, analyze, and maintain dashboards and reporting tools that assess membership performance, retention rates, growth indicators, and user behavior
- Direct the strategic work for assessment, reports, trainings and overall implementation strategies
- Present relevant reports and insights to the Executive Director and Board of Directors to inform strategic planning and resource allocation
Qualifications
Required Education, Experience and Qualifications
- BA/BS plus 6 years of full-time experience working in planning, implementing and supervising various aspects in a non-profit and/or college/university setting.
- Minimum of six years of full-time experience working in planning, implementing and supervising various aspects in a non-profit and/or college/university setting
- Previous experience with managing and implementing programs logistics and operations with demonstrated organizational skills and attention to details
- Experience managing budgets
- Ability to be self-directed and work autonomously on a daily basis with capability to manage multiple projects and collaborate with multiple constituents
- Demonstrated ability to make complex decisions, problem solve, practice hands-on management
- Strong communication skills both oral and written
- Commitment to diversity and inclusive excellence
- Organizational skills sufficient to perform multiple tasks while managing and monitoring many aspects of the program experience and expectations
- Ability to manage and collaborate with multiple partners on multiple projects with attention to detail
- Position requires some work on evenings and weekends
- This position must be able to travel on overnight trips to attend events
- Be a team player and work with volunteers either by leading or taking direction
Preferred Experience and Qualifications
- Masters degree in non-profit management, meeting planning, higher education or other related areas
- Association management experience
- Experience working with and directing volunteer leadership
- Previous knowledge of financial forecasting and budgeting
- Supervisory experience
- Ability to work and communicate across organizational programs and priorities
- Recognizes the importance of volunteer leadership and participation
- Demonstrated ability to communicate and work effectively with various constituencies, including diverse populations
- Proven effectiveness at group/team member environment

NODA is a nonprofit, membership Association comprised of professional administrators, students, faculty members as well as other higher education organizations. NODA has over 3,500 members in the U.S. and internationally, consisting of over 500 institutional memberships (public, private, 4-year and 2-year), bringing different perspectives, knowledge, and experiences. NODA's core purpose is to create an inclusive community of practice that enriches education, leadership, and professional development in the fields of college student orientation, transition, and retention. Pay and Benefits
