What You'll Do



  • Provide proactive and reactive calendar management support for multiple senior leaders, including prioritizing meeting requests and managing scheduling conflicts.
  • Serve as a primary point of contact between executives and internal teams, helping coordinate communication and maintain alignment across the organization.
  • Develop a deep understanding of leadership priorities, business objectives, and key initiatives to effectively manage time and resources, ensuring strategic focus.
  • Prepare leaders for upcoming meetings, critical milestones, and organizational priorities by meticulously tracking deadlines and proactively identifying necessary actions.
  • Coordinate all aspects of domestic and international travel arrangements, detailed itineraries, and accurate expense reporting.
  • Support leadership team meetings, team events, culture initiatives, and special projects, playing a key role in their successful execution.
  • Manage distribution lists, communication groups, and administrative processes to ensure smooth information flow.
  • Partner with executive administration teams to coordinate high-profile meetings, external visitors, and special events, ensuring a professional and organized experience.
  • Collaborate with internal teams to efficiently resolve administrative and operational needs, acting as a central point of contact.
  • Maintain the highest level of confidentiality, professionalism, and attention to detail in all tasks and interactions.


What You Bring

To excel in this role, you will possess a blend of essential experience and personal attributes:



  • 2+ years of experience providing comprehensive administrative and operational support to senior leaders, executives, or leadership teams.
  • Proven experience managing complex calendars and coordinating across multiple stakeholders with precision and foresight.
  • Strong organizational skills with the ability to prioritize competing demands and adeptly manage changing priorities in a dynamic environment.
  • Excellent written and verbal communication skills, enabling clear and effective interaction at all levels.
  • A demonstrated ability to anticipate needs, take ownership of tasks, and operate with a high level of independence.
  • Exceptional attention to detail and a steadfast commitment to delivering high-quality support consistently.
  • Proficiency with Microsoft Office Suite, including Outlook, Excel, PowerPoint, and Word.
  • Familiarity with AI productivity tools.
  • Experience with enterprise travel and expense management systems.
  • High school diploma or equivalent required.

  • Experience supporting VP-level, C-suite, or multiple senior leadership teams simultaneously.
  • Background within marketing, communications, retail, consumer brands, sports, entertainment, or creative industries.
  • Project coordination or project management experience.
  • Experience coordinating leadership meetings, team events, or significant organizational initiatives.
  • Familiarity with various enterprise business systems.
