For a limited time, MaineHealth is offering a $3,000 sign-on bonus for qualified applicants. This bonus will be prorated for part-time positions. Summary:

Are you passionate about providing exceptional customer service and helping patients access the care they need? As a New Patient Access Representative, you will serve as the first point of contact for adults seeking primary care. As the "front door" to our practice, you'll create a welcoming first impression by guiding patients through the process of establishing care and ensuring they receive timely access to the right provider.

This role combines compassionate, patient-centered service with innovative scheduling technology to improve access to care. You'll leverage automated scheduling workflows, ticket scheduling, and outreach tools while collaborating with providers and care teams to deliver a seamless patient experience.

What You'll Do
  • Welcome new patients and provide a "red carpet" experience from their first interaction through their initial appointment.
  • Guide patients through the new patient process, answering questions and setting clear expectations.
  • Schedule new patient appointments accurately while matching patients with the most appropriate provider.
  • Utilize technology, including ticket scheduling, automated outreach, and auto-dialer workflows, to improve patient access and scheduling efficiency.
  • Manage appointment requests by proactively working scheduling queues, automated requests, and outreach opportunities to connect patients with available appointments.
  • Coordinate outpatient follow-up appointments for patients transitioning from inpatient to outpatient care.
  • Answer inbound calls professionally by assisting patients with scheduling needs, adding patients to waitlists, responding to callback requests, and resolving general appointment questions.
  • Respond promptly to electronic messages and other patient communications.
  • Complete patient registration by verifying demographic, insurance, and contact information.
  • Accurately document patient interactions and scheduling activities in the electronic health record (EHR).
  • Partner with providers, care teams, and operational staff to ensure timely access and an outstanding patient experience.
What We're Looking For

  • Experience with healthcare scheduling, patient registration, or electronic health records (EHR) is preferred.
  • Commitment to teamwork, collaboration, and improving access to care.

The Patient Service Specialist role ensures patient scheduling and referral needs are met while assisting in the general administrative and patient service needs of the practice.

Required Minimum Knowledge, Skills, and Abilities (KSAs)

  1. Education: High school diploma or GED preferred.
  2. License/Certifications: N/A
  3. Experience: Six months of medical office experience required.
  4. Additional Skills/Requirements Required: N/A
  5. Additional Skills/Requirements Preferred: Proficient computer skills.

The pay range for this position is $20.27to $24.36 per hour.

Compensation for part-time positions isdeterminedon a prorated basis consistent with the scheduled hours and applicable full-time equivalent (FTE).
