Job Description
General Purpose of Job: Provides Clerical duties including scheduling, referral review, and communication between referring Provider and Therapists regarding establishment and continuation of patient care. Essential Duties: This job description is intended to cover the minimum essential duties assigned on a regular basis. Team members may be asked to perform additional duties as assigned by their leader. Leadership has the right to alter or modify the duties of the position.
- Interviews patients to determine appropriate Therapist for scheduling.
- Reaches out to referring Providers to change/ adjust orders based on patient needs and specialized skills of Therapist.
- Communicates information verbally and documents within EPIC in clear and concise manner to assist with ongoing communication between team members in the clinic and outside the clinic
- Assists with managing Therapist schedules to meet needs within the clinic and at the hospital. Assists leadership with identifying concerns/ potential scheduling issues as they arise.
- Responsible for informing clinical staff of covered and non-covered services, limitations of benefits, and situations regarding out-of-pocket cost for the patients. Also, appropriate standards for patient's allowable visits, time frames, and how to minimize mistakes with reimbursement.
- Answers questions and directs patient to appropriate contacts within UMH Sparrow for questions related to billing/copays
- Displays a high level of organization and is capable of effective and efficient multi-tasking.
- Greets and checks in patients; provides information and assistance as needed in person and by phone; refers individuals to appropriate personnel; takes messages, contacts necessary person(s), and answers inquiries.
- Schedules Clinical evaluations, follow-up appointments, and other patient/client appointments. Obtains all necessary information needed for proper registration and billing.
- Working knowledge of diagnosis codes and treatment codes in order to obtain proper authorizations.
- Assumes responsibility for accurately registering Clinical patients, focusing on customer relations and promoting good will between patients, physicians, hospital and clinical staff.
- Assist patients and participants with completion of required paperwork; ensures accuracy and completeness of paperwork and enters persons into EPIC documentation.
- Accepts patient payments and enters information correctly into system
- Handles confidential information and maintains HIPPA compliance.
- Manages waitlist appropriately to decrease time lost to cancellations and increase efficiency of department
- Manages work queues for incoming orders and current patients identifying when patients need additional authorization
- Creates episodes for Outcomes Measurement for the Therapists with appropriate designations.
- Communicates with Therapists regarding any questions they may have related to scheduling needs.
- Assists with identifying patients who need follow up by their Therapist.
- Monitor supplies and order as needed; Organizing area and tidying clinic as needed
- Willingness to be trained in areas of need for the Rehabilitation Department
- Willingness to provide cross-coverage to other Community Hospital sites of care as able.
- Performs other duties as assigned
Job Requirements
| General Requirements |
* BLS certification within 6 months of hire. |
| Work Experience |
* At least 6 months of scheduling experience using EPIC or at least 1 year of experience in reception/ scheduling in healthcare setting |
| Education |
* High School Diploma or GED |
| Specialized Knowledge and Skills |
* Demonstrated knowledge of computers applications, multi-line phones, insurance, and medical terminology * Excellent verbal and communication skills. * Excellent verbal and written communication skills required evidenced by good use and understanding of the English language and the ability to receive and impart accurate information. * Human relation skills to use tact and diplomacy in contacts with employees and public. * Ability to operate standard office equipment including fax, copier, scanner, and computer in an efficient manner. |
