Job Summary

Uses advanced administrative concepts and organization objectives to resolve complex issues. Manages, plans, administers, and coordinates the administrative operations of a small to mid-sized academic or non-academic department or organizational unit, the operations of which are significantly complex and/or broad in scope. Typically reports to a Chair, Director, or equivalent administrative management. Performance of administrative operations activities is the predominant focus of the position; may supervise support staff or a small number of professional staff within or outside the scope of main business activities (e.g., student services, facilities, etc.). Performs short- and long-term planning for the function. Regularly works on highly complex issues where analysis of situations or data requires an in-depth evaluation of variable factors. Exercises judgment in selecting methods, techniques, and evaluation criteria for obtaining results. Erroneous decisions or failure to achieve goals result in additional costs and serious delays in overall schedules.

Reporting to the Academic Affairs Manager, the Senior Academic Affairs Analyst will apply expert-level knowledge of Academic Personnel Management practices and procedures to strategically plan, perform, collaborate, and consult on time-sensitive issues and tasks related to the Academic appointment lifecycle. As the lead subject-matter expert, internal and external point-of-contact, and hands-on administrator for the Department's Non-Faculty Academic (NFA) appointees (Specialists, Professional Researchers, and Academic Coordinators), the position's primary responsibilities will include consulting with supervising PIs and Academic HR to manage the recruitment, appointment/onboarding, visa processing, advancement, leaves administration, and separation of NFAs, with shared team and backup responsibilities in these areas for the Academic Affairs Manager and Academic Affairs Analyst for faculty, visiting scholars, and visiting UC students. The Senior Academic Affairs Analyst will possess - or demonstrate the ability to quickly develop - expertise in the various systems and processes required to perform the Department-based Academic Affairs functions, including Advance, AP Recruit, Academic Personnel Renewal Portal (APRP), HR Department Reports, HR Umbrella, Offer Letter Generator Application (OLGA), MS Office, PeopleConnect/PCMA, and Smartsheet, to manage and support our Academic populations through the appointment lifecycle and advise the Department's administrative and faculty leadership in these areas.

The Senior Academic Affairs Analyst role will be highly visible, pivotal, and impactful for the Department as a member of the Neurology Academic Affairs team. At all times they will serve as a dependable, responsive resource for faculty and administrative leadership and as a trusted departmental representative to collaborative offices and agencies such as Academic HR/Academic Recruitment, International Students and Scholars Office (ISSO), Office of Medical Affairs and Governance (OMAG), School of Medicine Dean's Office, and the Office of Faculty and Academic Affairs. They will collaborate with the Academic Affairs Manager and the Department's administrative leadership to develop, update, maintain, and provide streamlined communications and presentations on relevant Academic Affairs topics and procedures for Neurology's administrative and faculty leadership, divisions, individual faculty members, committees, teams, administrative personnel, and employees. They will collaborate with team members, including the department project manager, chief of staff, and other Neurology stakeholders, to lead and consult on the planning, development, deployment, and management of data and process improvements for the Academic lifecycle. They will staff and participate in various meetings that enhance the team's ability to provide thoughtful, timely advice on issues related to faculty and NFA advancement, Advance packet review, and Department and Academic HR best practices, and manage labor employee relations regarding grievances and other concerns and staffing special reviews/investigations as needed. The Senior Academic Affairs Analyst will also serve as the Academic Affairs Manager's proxy when required, applying advanced interpersonal skills and expertise to address personnel issues and resolve complex situations and concerns as needed.

The Department of Neurology is a geographically dispersed, operationally complex, and culturally diverse organization whose continued growth generates a high volume of Academic Affairs-related activity. As the Department continues to grow, the Senior Academic Affairs Analyst role is integral to our internal Academic Affairs function and vital to the Department's ongoing success.

The final salary and offer components are subject to additional approvals based on UC policy.

Your placement within the salary range is dependent on several factors including your work experience and internal equity within this position classification at UCSF. For positions that are represented by a labor union, placement within the salary range will be guided by the rules in the collective bargaining agreement.

The salary range for this position is $101,600 - $157,500 (Annual Rate).

Department Description

The Department of Neurology at the University of California, San Francisco (UCSF) is a large, multi-site academic organization with teaching, research, and clinical care responsibilities within the School of Medicine (SOM). We are affiliated with the UCSF Weill Institute for Neurosciences. Our programs and services span the City of San Francisco, with clinical and research sites at Mission Bay, Parnassus, ZSFG, China Basin, SFVAMC, and the Gladstone Institutes, and reach into the Greater Bay Area at UCSF Benioff Children's Hospital Oakland and satellite clinics on the San Mateo Peninsula, Marin County, and beyond. The Department has 17 administrative divisions and offers outstanding neurologic care in 11 clinical specialties, with nearly 75 clinical trials underway. As of July 2024, our numbers include 279 faculty, 125 non-faculty academic employees, 434 staff employees, and 201 clinical and postdoctoral trainees.

Required Qualifications


  • Bachelor's degree in a related area and/or equivalent experience/training
  • Advanced knowledge of Academic personnel administration or related HR functions
  • Advanced skills in verbal and written communication, social and professional intelligence, active listening, critical thinking, persuasiveness, advising, and maintaining discretion and confidentiality
  • Advanced time-management and time-tracking skills for managing complex, time-sensitive tasks
  • Solid knowledge of or ability to learn common UCSF-specific computer applications
  • Solid skills in short-term strategic planning, analysis, problem-solving, and customer service
  • Minimum 5+ years of relevant experience

Preferred Qualifications


  • Advanced knowledge of UCSF rules and regulations, processes, protocols, and procedures for Academic personnel administration
