Willdan is seeking an Executive Assistant in Minnetonka, MN. The Executive Assistant will manage the Administration team which supports various office types, both remote and physical and assist in the management and coordination of administrative tasks in support of the Director of Operations, Director of Software, and other leadership staff. Our ideal candidate will be a self-starter who can assume all aspects of team supervision and administrative tasks related to supporting leadership and other staff. Essential Duties and Responsibilities

  • Work closely with the Administration Manager, Director of Operations, and Director of Software in various operations, finance, and administrative items.
  • Support the Director of Operations with interviews, offers of employment, and liaison with HR regarding new employee starts and terminations.
  • Supervise, delegate tasks, and assign responsibilities as needed to the administrative assistant team to manage multiple offices.
  • Manage planning office events both company-wide and team specific.
  • Prepare power point slides and manage company-wide meetings; take notes as requested.
  • Manage corporate credit cards receipts and entry into finance system.
  • Approve invoices entered for office expenses and monitor payment.
  • Be a backup for a multi-line phone system, forward calls as necessary, check voicemails.
  • Maintain office procedures and document tasks.
  • Possess excellent organization skills and flexibility in adjusting to shifting priorities and deadlines that may occur daily.
  • Have conscientious work habits such as arriving on time and staying late as occasionally needed to meet deadlines.

Job Requirements / Qualifications

  • Bachelor's degree preferred.
  • Seven years' related experience working in an administrative capacity.
  • Have a basic understanding of working in Microsoft Office Suite Products.
  • Ability to juggle multiple demands created by several simultaneous projects.
  • Possess a strong attention to detail and focus on communication.
  • Have excellent verbal and written communication skills.
  • Ability to work well in a deadline-driven environment, including appropriate follow-through with others, and giving and receiving constructive feedback.
