About the Job

The Medical Assistant in the Cleft and Craniofacial Clinic provides vital support to the clinical team, ensuring the smooth and efficient operation of the clinic. This role involves assisting physicians, coordinating patient care, managing medical records, and performing various clinical tasks. The ideal candidate will have a strong background in medical assisting, with a focus on pediatric or specialized care, and will demonstrate compassion and understanding towards patients with cleft and craniofacial conditions.

Hourly Range $23.47 - 29.64

Duties and Responsibilities

Patient Care and Clinical Support: 50%

  • Take medical histories and verify patient information by interviewing patients, recording medical history, and confirming the purpose of the visit.
  • Escort patients into exam room and prepare for practitioner's visit by performing preliminary physical tests such as taking blood pressure, weight, and temperature, and reporting patient history summary.
  • Assist physicians during examinations and outpatient surgeries, providing necessary support and maintaining patient comfort.
  • Administer injections and medications under the supervision of a physician, nurse practitioner, or physician assistant, and provide patients with diet and medication instructions per doctor's orders.
  • Care for wounds, change dressings, remove sutures, and perform related clinical duties as required.
  • Draw blood, collect and prepare laboratory specimens, and perform basic laboratory tests.
  • Prepare patients for x-rays, take electrocardiograms, and dispense contaminated supplies appropriately.
  • Set up and break down treatment and consultation rooms.
  • Sterilize instruments and maintain a safe, secure, and healthy work environment by following standards, procedures, and complying with legal regulations.

Administrative Responsibilities: 40%

  • Greet patients, assist with paperwork, and ensure a welcoming environment.
  • Answer phones, direct patient questions, and serve as a liaison between patients and the healthcare team.
  • Update and file patient medical records, including electronic health records (EHR).
  • Check patients in and out, obtain insurance information, assist with filling out insurance forms, release of information forms, and other correspondence.
  • Order office and medical supplies and maintain inventory.
  • Prep patient charts prior to weekly team visits.
  • Contact providers, and patients/ guardians to obtain updated health information, records, and xrays.
  • Basic editing of post-visit care plan documents.
  • Send correspondence to providers and patients.
  • Assist the nurse coordinator with administrative and clinical duties, ensuring the smooth operation of the clinic.

Equipment and Supply Management: 10%

  • Maintain medical supplies inventory by inventorying stock, placing orders, and verifying receipt.
  • Keep equipment operating by following operating instructions, troubleshooting breakdowns, maintaining supplies, performing preventive maintenance, and calling for repairs.
  • Clean and sterilize medical tools and equipment to ensure the clinic meets health and safety standards

Required Qualifications

  • Graduate of an accredited medical assistant program and certified or registered as a Medical Assistant by a National Commission for Certifying Agencies (NCCA) accredited organization
  • Ability to maintain patient confidentiality and demonstrate professionalism.
  • Ability to stand, walk, and move throughout the clinic for extended periods.
  • Must be able to lift and carry up to 50 pounds.
  • Ability to handle exposure to bodily fluids, chemicals, and other hazardous materials with proper protective equipment.

Preferred Qualifications

  • Previous experience in a pediatric or specialized medical setting, particularly in a cleft and craniofacial clinic, is an advantage.
  • Strong organizational skills and attention to detail.
  • Excellent communication and interpersonal skills, with the ability to work effectively with patients, families, and healthcare professionals.
  • Proficiency in electronic health records (EHR) systems and basic computer applications such as Microsoft office.
About the Department

The University of Minnesota School of Dentistry is the state's only dental school and the only dental school in the northern tier of states between Wisconsin and the Pacific Northwest. We are a regional resource to five states for dental education, consulting services, patient treatment, and ongoing continuing dental education.

We educate dentists, dental specialists, dental therapists, dental hygienists, dental educators and research-scientists. We offer advanced degree programs in seven ADA-recognized specialties: endodontics, oral and maxillofacial surgery, orthodontics, pediatric dentistry, periodontics, prosthodontics and TMD and orofacial pain. We educate scholars in oral biology, dental hygiene and oral health for older adults. Dentists from other countries who wish to practice in the United States matriculate through our Program for Advanced Standing Students. Learners have the option to pursue a Masters in Public Health or a PhD alongside their DDS degree.

We are the only dental hygiene program in the state associated with a dental school. Offering programs at the baccalaureate and master of science level, our integrated program prepares oral health professionals to collaborate from their first day in the profession.

We became the first dental school in the nation to educate dental therapists in 2009. Dental therapists perform basic preventative services, drill and restore teeth for children and adults and remove primary teeth under the supervision of a licensed dentist. As of 2023, we have graduated 91 dental therapists from the program.

Our work affects virtually every person in Minnesota. We educate approximately 73% of the state's practicing dentists, 68% of licensed dental therapists, and 49% of dental hygiene educators. Our researchers develop and test restorative materials used by dentists around the world. We provide critical oral health care with more than 100,000 patient visits in our campus clinics and more than 16,000 patient visits at outreach sites in underserved communities throughout the state. We provide continuing dental education for 7,1000 practicing dental professionals each year.
